I am currently recruiting for an experienced Office Manager for a busy, fast paced construction office .
Duties of the role will include but wont be limited to:
Oversee and support all administrative duties in the office and ensure that office is operating smoothly
Manage office supplies inventory (including stationery, printers, hospitality, kitchen & bathroom supplies)
Receive and sort incoming mail and deliveries, and manage outgoing mail and file on server
Ensuring filing system is being operated by all company personnel
Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
Update and Maintain the Training Matrix
Manage the HR functions within the Company
To expand on the duties required:
Develop office policies and procedures, and ensure they are implemented appropriately
Liaise with Accounts department ensuring timeous submission and monitoring of invoicing and debtors
Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure
Manage office budget
Identify opportunities for process and office management improvements, and design and implement new systems
Allocate tasks and assignments to subordinates and monitor their performance
Assign and monitor clerical, administrative, and secretarial responsibilities and tasks among office staff
Perform review and analysis of special projects and keep the management properly informed
Maintain the updated Training Records of employees
Liaise and co-ordinate any training requirements identified by other departments
Prepare operational reports and schedules to ensure efficiency
Manage internal staff relations
Maintain a safe and secure working environment.
Suitable Candidates who will be considered for this opportunity will have:
Proven office management, administrative or assistant experience
Must have exceptional attention to detail
Strong organisational and time management skills, and ability to prioritise
Must be a self-starter and driven
Excellent communication and interpersonal skills
Strong problem-solving skills and analytical abilities
Must be proficient with Microsoft Office products
This role requires the job holder to manage subordinates and delegate tasks as well as mentoring and training them in the processes and procedures of my Clients business. In order to fulfil this role, the job holder must have previous knowledge of the following items and be able to use this to encourage best practice for all Administrators / Coordinators within the office.
Accounting, data and administrative management practices and procedures
Clerical practices and procedures
Human resources management practices and procedures
Business and management principles
Computer skills and knowledge of office software packages
