Aspire Jobs are delighted to be working in partnership with our client, who are a nationally recognised firm with offices in central Bournemouth.
Now looking for an experienced Senior Administrator to join their busy property team as part of their expansion and growth plans.
The successful Senior Administrator will be a forward thinking individual who has the ability to think on their feet and go in and make this role their own. This role is a slight deviation away from how they would normally work and, if successful, could see this position being rolled out across the Company in the future.
The property team are a dynamic, professional and manically busy group who provide expert advice in a concise and commercial way to their clients based across the UK. They are progressive in their thinking and are constantly growing.
Now looking for a super organised individual who loves organising and also working in a very process driven environment with lots of compliance to be undertaken.
The successful candidate will:-
Have excellent and strong admin background with a solid CV that demonstrates loyalty and longevity in roles
Good MS Office skills, particularly in Word
Excellent communicator
Professionally presented
Be able to work on their own but also within a very busy team
Be a strong character (but in the right way) to push Senior staff for further information when needed
Be able to work at high pace and volume.
Be committed to the highest quality of client care
Have the desire to create efficiencies and be motivated to understand and comprehensively follow compliance onboarding procedures
Job Description
The successful candidate will focus on coordinating and managing all new client and matter records within the team.
This is an exciting new role - currently, other team members open their own client and matter files and are responsible for complying with the varying regulatory obligations which go alongside doing this. Whilst those team members will remain responsible for client and matter inception, our client believes one person within the team centrally coordinating and managing this work will be more efficient and will ensure their compliance is as robust as it needs to be.
This is a hugely important role within the team as client and matter inception is fundamental in protecting the firm, getting to know their clients (and what their needs are) and complying with their various different regulatory obligations.
The key responsibilities of this role will be:
Using a case management system to create new clients and matters, adhering to various internal policies
Using Templates to draft initial documentation (client care letters, terms of business and matter-relevant information forms) and once approved, sending to clients.
Initiating client ID checks using the firm s nominated system and monitoring the return of completed client ID reports.
Undertaking relevant Companies House searches for new and existing commercial clients.
Liaising with clients on preliminary administrative enquiries.
Ensuring fee earners complete applicable risk assessments (which will inform the level of Client Due Diligence (CDD) required) in order to comply with our Anti-Money Laundering and Compliance obligations.
Using a document management system to efficiently save client onboarding documentation
