Due to a promotion, we now have a vacancy for an Office Administrator! Science is what we do, and to be effective, we need an excellent team of administrative professionals to support us.

We re looking for a proactive administrator, with experience of working at Personal Assistant level. Can you anticipate need and build good working relationships across a wide range of stakeholders? You ll be joining the Soils and Land Use Science Area, led from UKCEH Bangor. Based at Environment Centre Wales, a collaborative science and infrastructure workspace, in an open plan office environment. Even the building has an impressive list of environmentally friendly credentials! As well as providing administrative support to the Head of Site and wider science area team led by two Group Leaders, you will be providing dedicated support as Personal Assistant to the Head of Soil and Land Use Prof Bridget Emmett who has responsibility for the management and leadership of over 80 staff and 40 postgraduate students located across three UKCEH sites.

Main Responsibilities

Personal Assistant to the Head of Soils and Land Use (50%)

  • Confidential Diary/Email management

  • Coordinating events/meeting arrangements (on-site or at external locations)

  • Liaising with a wide range of stakeholders, including devolved/UK/International governments

  • Organising UK and international travel arrangements

  • Assisting with preparing/submitting expense claims

  • Collating/maintaining Science Area documentation and dissemination of corporate information

  • General administrative support e.g. general enquiries, mail, email, photocopying, filing, archiving, populating corporate databases, maintaining intranet/SharePoint pages

Support to Head of Site, Group Leaders and the wider science team (50%)

  • Providing administrative support to the Head of Site, which includes secretarial duties for committee meetings, with occasional minute taking

  • Personnel administration - supporting managers with coordinating arrangements for interviews and local inductions, maintaining local records of staffing changes

  • Organising events on site/other UKCEH sites/external venues, working collaboratively with facilities, IT Team, other support staff:- including setting up meeting rooms, refreshments, tele/video conferencing facilities, and coordinating visitor arrangements etc.

  • Supporting staff to book unusual/complex travel arrangements using our travel management system (training will be given)

  • Managing a corporate credit card, for agreed science area procurement
