Interested in working for a dynamic, world class, Luxury Retail company, my client are looking for an Office Manager to ensure their head office runs smoothly, communication is key as there will be regular interaction with VIPS. You must have excellent organizational skills as you will be assisting Directors. Ensuring that the office is presented in a professional manner at all times along with clerical duties including answering calls, receiving and dispatching mail.
Responsibilities
Coordinating the maintenance of office equipment including photocopier, printers and PCs
Greeting clients, visitors and vendors
Sorting and distribution incoming mail and dispatching external mail each day
Arranging meetings, reserving rooms and managing refreshments
Providing assistance to the Marketing team at events and in all areas of administration support
Typing correspondence and meeting notes among other documents
Conducting research and compiling data
Photocopying and scanning documents
Covering reception duties when necessary
Maintaining stocks of stationery and refreshment supplies anticipating work requirements
Maintaining accurate records of visitors to the office
Liaising with office cleaner company for the building
Encouraging staff to adhere to Health and Safety requirements
Promoting Breitling values
Skills Knowledge and Experience:
Computer literate
Proficient in the use of Microsoft Office
Attention to detail and numeracy
Understanding of visitor/customer expectations
Professional appearance
Self-motivated, well organized team player
Ability to be proactive and problem solve
Enthusiastic and reliable
Skills and experience
A keen eye for detail
Excellent communication and team working skills
Excellent organisational skills, with the proven ability to manage workload and meet deadlines
The ability to multitask, maintain focus under pressure and ensure attention to detail
Confidence and drive, with a 'can do' attitude
The ability to quickly grasp new tasks and responsibilities
Ability to work on own initiative and be proactive
