Job Title: Projects Administrator

Working Hours: Monday,Tuesday,Wednesday,Thursday,Friday - 08:00 - 16:30 - 37.5 hours per week

Atalian Servest is currently recruiting for a Projects Administrator to join our passionate and driven team in Glasgow!

The position requires working closely with our Management and Projects team and is responsible for ensuring that all administration tasks are carried out accurately and in a timely and effective manner. You may also be required to provide administration support to the wider contract or business when required.

Your primary responsibilities will include:

Supporting the Project Coordinator with daily duties, managing the Project Admin Inbox
Planning work in a way which ensures that key milestones and completion dates are achieved
Log new job requests and issue enquiries to the client/ subcontractors
Provide direct administrative support to project teams
Raising purchase orders, assisting with invoice queries and monthly applications
Maintaining project works trackers and CAFM system throughout the lifecycle of the project
Compile a variety of project information from different sources to create a Maintenance Manual for every contract
Ensure relevant documents are filed following a strict organisational structure and archived on a regular basis to ensure they are clearly accessible
Assist the Project Managers in producing accurate reports and documentation
Arrange access to all client sites for the project team and subcontractors
Any additional ad-hoc support that is required
Ensuring all employees are aware of their obligations under the Atalian Servest Health & Safety Policy, and that work is carried out in accordance with the policy at all times
Helping create and maintain a positive safety culture, leading by example at all times
Ensuring that all health, safety and environmental incidents and complaints are reported and investigated and that action points arising from site safety surveys, audits, accident reports and other recommendations are successfully closed off.

About You:

Experience in a similar role
Strong Microsoft Office Skills
Experience in working to deadlines and effective time management
FM or construction experience is desirable
Disclosure Scotland required for role
Ability to prioritise and organise own work whilst working on a variety of tasks
Strong communication and interpersonal skills
Ability to work effectively within a team
High level or professionalism and self-motivation
High attention to detail, accuracy and problem-solving skills
Strong organisation skills
Confident in liaising with stakeholders at all levels

Security Clearance to NPPV/2 or Non-Police Personnel Vetting to Level 2 is required to be undertaken.
