The Group Services Administrator has an approachable and professional demeanour, who owns and manages the site issues and development. Working as part of the Group Services team the job requires a practical approach and the ability to deal with a wide variety of people and levels.
The main focus of the role assists in coordination and management of all sites which includes delivery of a broad range of goods and services into the business. In addition to this, the Group Services Administrator would be expected to take on the role as the Health and Safety representative for their individual site location, including the role of Fire Warden and First Aider.
What would your day look like?
Post responsibilities
Incoming collection & distribution
Outgoing franking and delivery
Booking couriers when necessary
Contact for supplier in relation to any postal queries or issues
Liaising with third party suppliers when needed in relation to office maintenance
Raise PO's for scheduled works
Communication with external security for out of hours access
Arrange and maintain work schedules Maintaining up to date floor plans
Creating space for additional staff members
Ensure and promote high standards of office presentation
Arranging cover for scheduled absences
Office Car Parking representative (if required)
Allocation of passes
Maintaining record sheets
Update policy and process for parking
Liaising with line managers in the event of issues
Communicate daily with third party parking manager
Intranet champion
Contact for Group Services for any updates and amendments to be made
Update version codes as and when required
Maintaining up to date pages such as security and fleet
Physical Access Security representative:
Issuing Visitor ID cards to all office visitors
Taking Photo ID from new starters from all sites to set up and arrange an ID/access card
Contacting our Alarm and Access contractors when issues arise
General awareness of office security, communicating issues or risks to the office
Full administration of the Paxton Net 2 software
Update policy and process for visitors and staff
