We are currently supporting a fantastic international manufacturing organisation in Leeds who have a fantastic opportunity for a HR Administrator to join their team.

This is a full-time, permanent position offering a salary between GBP23,000 - GBP25,000.

The position is responsible to provide professional and confidential support service to the HR team, to support the achievement of the HR KPI's by providing a pro-active, efficient and effective HR Administrative service, including, but not limited to; recruitment and selection, job design, employee relations, performance and discipline management, HR policy interpretation, as well as contributing to the support, development, implementation and review of HR initiatives to support the business.

THE ROLE:

Produce and distribute reports to analyse weekly and monthly absence data and information
Record all absences to relevant HR systems, and ensure correct documentation is completed
Escalate areas of concern and absence management triggers to the HR team and relevant managers
Generate weekly Occupational Health Practitioner timetable and relevant documentation, to ensure full effectiveness of this service, and ensure routine health screening is being completed, as well as acting as a central source for Occupational Health referrals, keeping track of usage against agreement and alerting the wider HR team of any issues
Manage long term sick administration, contact and follow ups. Escalating cases of concern.
Track and monitor training activities
Provide timely support and services to managers and employees that are clear, concise and fit for purpose
Maintain and build strong working relationships with managers and stakeholders (H&S, Payroll etc), to understand business requirements and how HR can support them
Support low level disciplinary and grievance matters, at investigation stages, in a professional and timely manner, in accordance with legislation and best practice, ensuring correct documentation and procedural fairness, and note-taking where required
Ensure all HR files and records (paper and electronic) are kept in an efficient, confidential, organised, up to date, accurate and safe manner
Ensure HR systems are maintained with up-to-date personnel data and carry out regular audits of data to ensure accuracy and consistency. Provide HR team with reports and information as required
Collect and analyse data to provide accurate people reporting to the HR and management team (including turnover, absence rates etc)
Regularly review and update group folders to ensure relevancy and ease of use of all HR documentation
Ensure access is for relevant personnel only to enable them to do their job
Manage the process of transferring all paper personal files to electronic files
Support mandatory training requirements (i.e. Code of Conduct) within timeframes
Coordinate training course bookings and administration as requested by managers, ensuring all trackers are up to date and accurate.
Liaise with Payroll to ensure information impacting salaries, wages, allowances and other payments are processed accurately
Active involvement with Employee Engagement and reward, including long service, Kudos, referral scheme and communication.
Manage and update recruitment trackers, ensuring all data is correct and relevant
Carry out all admin related tasks including posting vacancies and liaise with applicants, agencies and media, organise interview schedules, provide candidate correspondence as appropriate, book interview rooms and equipment, and participate in first stage interviews, as required
Manage the booking and delivery of the new starter induction
At selection stage, ensure appropriate written offer and contract of employment in accordance with compensation and grade structure, as well as ensuring new employee documentation is completed in a timely manner
Managing the probation review schedule ensuring all new starters have planned meetings and follow ups as required
Support the delivery of a temporary workforce as required - liaising with recruiters to arrange interviews and start dates; keeping all trackers up to date and collating an forwarding timesheet; dealing with all queries.
Prepare all relevant employment documentation (i.e., offer letters, T&Cs, invite letters)
Manage the starters and leavers processes, ensuring accurate and correct documentation
Provide pro-active and confidential support in preparing employee correspondence such as invite to meeting letters, employment contracts, and confirmation of role change or personal information changes
Attend HR related workshops to understand concepts and practices to enable basic advice to employees as required
Strive for excellence in the delivery of HR services, enabling the business to deliver and seek opportunities for continuous improvement and efficiencies
Ensure HR information is easily accessible and understandable
Provide support to audits to ensure compliance
Provide ad hoc reports as needed

Monitor and maintain HR office stationeryRequirements:

Knowledge of basic HR principles and employment law
Previous experience in a HR or Administration role
Experience multi-tasking and prioritising
Competent in MS Office suite (particularly Excel), with experience using HR systems
