RELOcruitment have been tasked with the pleasure of recruiting for a leading commercial relocation organisation who are currently going through an exciting expansion phase across all of their business verticals. The commercial moving division specialises in office removals, industrial removals, temporary and permanent storage, furniture recycling and all types of IT relocation.
They are now looking to hire an Assistant Manager to join their Business Relocations team in Birmingham. You will report directly to the Head of Relocation Services and will be required to liaise with several different teams within the company.
The main purpose of the job is to maintain and promote excellent staff relations between functions and departments and maximise positive cash flow. You will be assisting the Branch and the UK Regions in achieving budgeted sales and profit contribution all in accordance with agreed standards of performance and presentation.
Main Tasks of Job and Key Responsibilities:
To monitor the activity of customer services to ensure all clients, internal and external, are dealt with efficiently and effectively
Ensure client enquiry details are accurately recorded
To maintain and monitor an efficient and effective sales process, from initial enquiry through to job execution and post move follow up
Accurately and effectively cost jobs to provide competitive quotations, including resourcing and costings
To liaise with Head of Relocation Services and Head of Sales UK Regions on sales and pricing strategies
To liaise with regular clients including site surveys, quotations and move management when required
Ensure every quotation is followed up through to conclusion
Be aware of and actively promote the full range of services that we can offer in-house and through outsourcing
Network with other sales, development and account management staff to cross sell each divisions services
Attend external networking and exhibition events
Ensure detail of all external resource required for jobs is recorded in the relevant files
Ensure back costings are carried out on each job and raise issues / discrepancies between actual cost and quoted price to Head of Relocation Services
Provide timely reports as required regarding own activity
Where required, ensure client purchase orders are obtained prior to work commencing
Ensure timely and accurate invoicing of jobs, including negotiating staged/phased invoicing agreements for jobs which span more than one month
Assist in resolving client disputes or issues and ensure that the account is paid within the agreed time period
Keep up to date with industry trends and practices
Frequent and regular and use of company CRM systems to gather detailed sales intelligence on target organisations.
Work collaboratively with telesales/business development staff
Administration:
To monitor all areas of branch administration, maintain efficient and auditable systems
To ensure client enquiry database is correctly maintained in accordance with company protocols
To ensure credit applications are obtained on all relevant files in line with Company policy
Manage the administration of branch contracts and similar contracts that may be gained in the future
To ensure compliance to month end and Head Office timescales, in respect of information reporting
To administer monthly client billing function to ensure the accurate completion and prompt submission of removals, storage, and crate invoices
In conjunction with other branch staff, to accurately administer the crate service to clients, including booking deliveries and collections ensuring a high quality of service is provided and any extended crate hire is constantly monitored, and clients regularly advised of crate status and ongoing charges
Operations:
Provide operations management cover as and when required, particularly during periods of Head of Relocation Services absence on annual leave
Assist Head of Relocation Services to ensure operational legal requirements are fulfilled.
To ensure all vehicle accidents are recorded and reported, and repairs are carried out in a cost-effective manner to maintain presentation of vehicles
Report all instances of potential employee disciplinary occurrences immediately
