Maxwell Consultancy is working on behalf of a services company for a Project Administrato. The successful candidate will handle all logistics and training duties, as well as document control. The Project Administrator will manage the safe, cost effective, and efficient movement of personnel.
Duties
Ensure operational timing updates are communicated to all stakeholders
Assist in the nomination and procurement, as directed, of competent and appropriate personnel - staff and 3rd party - for work requirements
Efficient and effective dispatch of personnel as per contract requirements and constraints as directed
Prepare and issue a contract for services to 3rd party contractors together with personal and supplier details and send to the relevant departments once received for entry into Navision
Ensure IR-35 checks process has been completed
Prepare and issue call-off details (location, travel, accommodation) by email or otherwise for each individual job assigned for staff and 3rd party contractors and maintain call off register
Responsible for upkeep and accuracy of personnel and contractor training matrix for both internal and external use
Ensure the work within the law when controlling, distributing, storing and disposing documents
Utilise ERP system to log personnel movements and create necessary quotes and PO's for personnel and equipment
Responsible for booking and logging pool car movements according to pool car policy
Control of existing and new documents within the Quality Management System and Project Systems
Co-ordinate the creation, revision and retrieval of procedures in the Quality Management System
Maintain project document control to the contract agreements requirements
Prepares and controls all Marine Project Safety Management Systems, and Marine Quality Management System Documents
Search for and compile information associated with physical storages as per requests from the business
Formulate Tender Document Requests and Complete Questionnaires/Vendor Supplier Registration forms
Requirements
Good standard of general education
General office and administrative experience, preferred
Good knowledge of electronic data management systems, preferred
Good knowledge of technical library (inc codes and standards, and legislation), preferred
Fully Qualified (ISO9001) Internal Auditor, highly preferred
Awareness of ISO Standards, preferred
Effective/competent MS Office Suite User
Excellent communication skills in both written and spoken format
A pro-active self-starter who can operate both individually and as part of a team
Be able to balance competing priorities, complex situations and tight deadlines
Independent and focused with the ability to use own initiative and work unsupervised
Be able to think creatively and strategically and to successfully mediate and negotiate with individuals and groups internally and externally
