Job Title: CAFM / Project Administrator
Reports To: Head of Projects - MAC

CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting a Space Planner to support the Space Management Team in the provision of accurate CAD drawings and innovative space planning solutions for CBRE clients.

The purpose of the role is to:

Work at the client place of work, working with the onsite Project and MAC teams to provide project support and CAFM related support.
Be proficient in the use of AutoCAD & CAFM Software and be open to learn other CAD systems as and when required for specific client sites.
Become proficient in the set up and delivery of space audits using specified CAD/CAFM tools (training provided where necessary)
Summary
General Activities:

Assist the Project and MAC teams in establishing a strong Administration activity and in setting up the basis and principles for development of assigned projects, logging and tracking requests if required. Liaising with customers to ascertain exact requirements, status or work and determine requests have appropriate levels of approvals.
Review and modify existing administration procedures, or develop new procedures and processes where necessary, publishing progress reports to accurately reflect the status of projects, pulse and satisfaction surveys and actions, supporting processes in connection to budget, administrative and accounting procedures, project preparation and control, reviewing integrity of documentation, reporting undesirable conditions as appropriate.
Ensure effective use of available project management and/or other tools to guarantee reliable data base and through the use of such tools (Excel etc.) to ensure full and secure admin, financial and/or timing control, handling appropriately confidential information concerning departmental or personal matters.
Assist the department, to develop, maintain and operate required integrated computerised systems such as ARIBA, TRIRIGA, Access control and data bases etc. that are required for the operation of various functions.
Assist the department in establishing a robust audit example, assisting and supporting the internal auditing process.
Support with invoicing queries as and when required, ensuring procedures are being observed, and correct controls are being maintained with reference to project and purchase documentation.
Co???ordinate Corporate Procurement and Receiving Systems, support when required local telephone, printer and facilities concerns by cascading information or escalating, sometimes liaising with customer or owner.
Raising job requests to facilitate department, track job status and follow up as necessary
Carry out general administration and if called upon such duties as supporting local requirements to deal with stationary, mail, bookings if and when required and perform special assignments as requested/appropriate on own initiative.
Responsible for plan data accuracy
Promote and maintain the core values of CBRE.
Position to work primarily at a single client site(s) but also at multiple clients throughout the UK
System administrator for the scheduling and space management system
Maintain space information
Provide ongoing support to campus users of the scheduling and space management system through training, maintenance and troubleshooting
Responsible for creating and updating layouts of a specific space using CAD software
Draw sketches and incorporate them into CAD files

Skills

Proven Experience of working with CAFM Systems
Proven Experience of working with AutoCAD
Proven experience in space planning, preferably within a corporate environment
Headcount Management and ability to analyse data
A working knowledge of the Moves Management process
Proficient in Microsoft Office applications
Ability to work both individually and as part of a team
Strong Microsoft Excel & Project
Excellent written and verbal communication skills
Knowledge of space management computer applications.
Knowledge of space utilisation and facilities management.
Skill in analysing and determining space utilization and facilities inventory.

Perform measured survey
Create a CAD drawing of a building from scratch

Knowledge
Design Knowledge

Manage space planning projects from inception to completion including the planning and design of space
Manages space utilisation surveys from implementation to analysis and presentation of results to ensure best efficiency of space use
Provide regular feedback on how to better utilise space based on occupancy.
Experience of one or more CAFM systems (e.g. Tririga, Archibus, Accordant, Manhattan etc.)
Proven experience of CAD space planning, preferably within a corporate environment (Min 3 years)
Use of databases to produce management information and statistics.
Experience of working as an integral part of a multidisciplinary team
Design - Knowledge of design techniques, tools, and principals involved in production of precision technical plans, blueprints, drawings, and models.

Experience

Excellent knowledge of current developments and trends in space planning, health and safety, fire safety, the Equality Act and other relevant regulations
Working knowledge of CAFM Software & AutoCAD or equivalent software package and experience of space planning and design in projects
Working knowledge of MS Office applications including Word, Excel and Power Point
