About the Team
The Border & Trade, Programme and Operational Delivery (PO&D) Directorate, is responsible for several areas;
The NI Delivery Programme strives to deliver on our obligations under the NI Protocol. This means implementing unfettered access for NI goods to the rest of the UK; maintaining the smooth flow of trade from GB to NI; and protecting the place of NI in the UK customs territory.
The Trader Support Service (TSS) programme and Live Operations, the government launched a free-to-use Trader Support Service in January 2021 to help businesses and traders prepare for the changes that affected businesses when goods move into and out of Northern Ireland.
The directorate also responsible for Freeports programme, these are special kind of air, rail or sea port, where normal tax and customs rules do not apply.
The Social Security Coordination (SSC) programme aims to ensure eligible citizens have access to the right benefits post-EU Exit (eg. Child benefit) or pay National Insurance contributions to the right country.
Inland Border Facilities are Government facilities that provide customs and transit checks required from 1 January 2021 at locations away from ports.
We are seeking people who are experienced in working in exciting, corporate and fast paced environments and willing to play a key role supporting delivery of Departmental priorities.
Job Description
PO&D Directorate within Borders and Trade is a fast paced and high-profile role. We are looking for a confident and motivated person with excellent interpersonal, organisational and communications skills. We are looking for someone who is interested in understanding the wider strategic aspects of P&OD as well as Borders and Trade.
You will have the ability to deliver under pressure, manage multiple and challenging priorities, engage and advise SCS ("Senior civil Servants" i.e. Deputy Directors, Directors and Director Generals) and collaborate effectively with several senior HMRC, HMG and private sector partners.
Responsibilities
This is a fast-paced environment and applicants will need to be comfortable working to tight, changeable deadlines, this is a multifaceted/agile environment, a central PO model where you will be exposed to several areas in the SLT and the wider and exciting areas of the P&OD Directorate.
We need our person to have excellent communication skills and will be a key member of the team and will be responsible for a range of functions including:-
- Management of the SCS Delivery Leads' diary, ensuring that time is used optimally, making sure the diary is handled efficiently, resolving conflicts, allocating time to priorities. To ensure there is always clarity for the purpose and intent of the meetings to ensure SLT's (Senior Leadership Team) time is used most effectively.
- Management of inbox, to undertake constant monitoring and progressing of the SCS1 Delivery Leads' inbox for correspondence and information for meetings; by using judgement to direct work to the appropriate place when necessary and prioritise and flag business critical emails to the SCS1 lead.
- Providing day to day business support to the SCS Delivery Leads and wider team, arranging meetings and agendas, travel and hotels and other ad-hoc requests.
- Authorising Travel and Subsistence claims as well as HR processes.
- Maintaining and progressing agendas and action point log for team meetings
And
- Working with the team to support the delivery of the programme work.
We are looking or motivated self starters with strong organisational skills and remain professional in a highly pressurised environment.
We need someone flexible and who are able to build and maintain effective working relationships with individuals and teams at all levels in the organisation whilst showing initiative and being able to work effectively without direct supervision.
Essential Criteria
- Experience of Corporate or Business Office Support and Administration.
- Diary management and managing inbox.
- Excellent written and oral communication skills and a proven understanding of Microsoft Office 365 tools.
