My client is a London-based independent production and brand licensing company, focused on delivering high-quality imaginative films and productions for family audiences. They are seeking a part time office based Office Manager to work 21 to 28 hours a week, flexible on days.
JOB ROLE: Office Manager
COMPANY: Media/Production
HOURS: 3 to 4 days, flex on days
SALARY: 35k to 40k pro rata
LOCATION: West end
CULTURE: creative, fun and buzzy environment
This position is vital to the smoothing running of the office creating a safe and healthy environment for everyone to work in. Reporting to the Finance Director.
DUTIES INCLUDE BUT ARE NOT EXCLUSIVE TO
Front of House (in conjunction with other staff)
Answering incoming calls and ensuring all visitors are welcomed to the office and taken care of.
Taking deliveries and making bookings with couriers.
Responsible for keeping the office environment clean and tidy
Oversee the booking of internal meeting rooms.
Responsible for the Hybrid Working Office rota - ensuring the seating plan in the office is kept up to date and booking people in when necessary.
Primary contact for the Managing Agent of the building, raising issues proactively and following up actions through to completion.
Managing all facilities contracts for the office including offsite storage (energy, water, internet, communications, security, cleaning, printer, etc) including taking regular meter readings and negotiating cost-effective rates.
Management of all office and business health & safety including annual fraud training, staff ergonomics, fire safety (including organisation of fire marshals) first aid training, etc.
Being a first aider and fire marshal
Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office; ensure that results are measured against standards, while making necessary changes along the way.
Responsible for all office security including the management of the alarm company and key holders.
Responsible for the management of the office budget and office supplies and equipment.
Responsible for the organisation of office induction programmes for new employees when required and refresher training on locking and unlocking the office for example.
Oversee and be the main liaison for external IT support and handling general IT queries and updates.
Oversee work on IT security arrangements.
Manage the planning and execution of company events, where appropriate.
Manage IT equipment and software requirements including Zoom, Adobe, Microsoft etc.
Event organisation as required (booking/managing venues, event catering, etc)
Scheduling/managing regular meetings including distribution of papers/presentation
Travel booking if required
General admin as required
SKILLS, EXPERIENCE AND ATTRIBUTES REQUIRED:
We are looking for an experienced Office Manager with facilities experience, you will be capable of managing budgets and negotiating contracts.
A highly organised person with great communication skills and resilience will thrive in this role.
