Medical Secretary within the ENT Department

GBP11.50 to GBP13.25/hr

2-3 months - immediate start

Based in Southampton - main university campus

Mon to Fri - fulltime hours - flexible

Job Purpose:

To provide secretarial and administrative support to the University of Southampton Auditory Implant Service (USAIS) including the management of patient pathways.

Duties:

To provide end-to-end support and administrative tasks relating to the management of patients including

using a custom-built data base/diary system to book appointments for patients undergoing rehabilitation, co-ordinating staff and clinic rooms; booking interpreters and organising car parking for patients as required
printing and formatting patient reports by mail merging within a bespoke database and creating new templates as required

Applying a good working knowledge of complex administrative systems, resolving problems and queries and fostering AIS relationships with both internal and external customers in the following ways (escalating to management where appropriate):

answering patient queries through email, SMS and telephone, finding solutions within defined boundaries with limited supervision.
liaising with Hospital Theatre Staff, Paediatric Admissions, Ward Staff and Clinical Radiology staff regarding patient referrals, appointments, admissions, assessments etc Ensure safe delivery/collection of cochlear implants, patient file and X-rays.

Supporting members of the multidisciplinary team by printing and formatting patient reports from members of the multidisciplinary team. Ensuring accurate and timely record keeping, including maintaining and archiving (electronic and physical) patient files and keeping them in good order and maintaining database entry. Adhering to data protection and information governance policies and procedures.

Providing medical secretarial support for AIS ENT clinics including preparation of the room, ensuring the notes are available and transcribing correspondence from audio tape.
