The role: P/A & Office Manager - Hybrid Working

Office Location: Leicester

Salary: 25K - 35K DOE

Working hours: Monday to Friday 9am - 5.30pm

Role Type: Permanent

We are looking for an experienced PA to join our office in Leicester. You will be working alongside an amazing team and will be a direct support to the CEO of the company. You will also oversee the management of the office, providing administrative support to the senior management team, ensuring that everything runs smoothly. The role is 40% hybrid, so you will be working from the office 3 days a week and from home 2 days.

What will I be doing when I start as the P/A & office manager?
This role is broad and requires flexibility, the key areas are:

Provision of PA support to the CEO and administrative support to Senior Management Team.
Coordination and support of governance, including Board and Committee meetings, liaising with the office of our Patron HRH Princess Anne, and supporting our Trustees.
Management of our Leicester office and working as a flexible part of Internal Services, providing support as needed.

Starting salary of between 25-32K DOE.Day to day duties of the P/A & Office Manager

Provide support to the CEO and Senior management team:

Manage CEO's diary, arranging meetings and travel etc as required. Deal with telephone calls, e-mails and correspondence received by the CEO.
Arrange SMT meetings, including coordinating the agenda, papers, and action tracking.
Progress chasing work on behalf of the CEO and SMT. Governance, Statutory and Compliance:

Arrange and produce an annual governance calendar showing four Board meetings, three Audit Committee meetings, the Annual General Meeting (including Haldane Trust), and Annual Board Residential.
Co-ordinate the meetings including booking hotels for Board members as needed, inviting attendees, contributing to the production and distribution of papers, and taking minutes.
With support from the DFO coordinate preparation and submission of statutory and other compliance matters including Charity Commission, Companies House, Trustees Report, Register of Significant Influence, declarations of conflicts of interest.
Maintain database of policies and review dates, prompt Management to review.
Maintain the register of terms of office of Board & Audit Committee members.
With support from the DFO, manage Health & Safety, ISO and GDPR for L&W Office management:

Day to day office management of a leased building including ordering supplies, contact maintenance and repair companies, meter readings etc
Co-ordinator for all office fire procedures, Health and Safety and First Aiders (working closely with the teams in London and Cardiff).
Ensure Leicester office main phoneline is monitored and L&W enquiries inbox is dealt with.
Working collaboratively with other functions, groups, and staff such as HR, IT, and the staff reference group across all 3 locations.
