A leading Mechanical & Electrical Engineering firm is seeking a Facilities Coordinator. The successful candidate will have experience working within the FM industry in a similar role. Having Compliance/ Contract support experience will be beneficial.
Job Role:
* Primary focus on delivery of all FM Operations SLA's in accordance with KPI & Output measurements
* Comply with HSE requirements as outlined within the SLA and as instructed by the company policy
* Act as a part of site Emergency team i.e. Fire Marshal or Evacuation Muster Point Incident Control Officer, as required for emergency control activities, including leading in these activities during periods of annual leave or other absence for other members of the team
* Report all accidents, occupational illnesses and emergencies in relevant books/documentation
* Ensure all contractors, under sphere of control, operate within appropriate SHE processes and client HSE standards
* Conduct monthly self-assessment SLA checks in support of quarterly contract performance requirements
* Responsible for the image and visual standards of the site/s taking ownership of any issues or concerns
* Co-ordinate site waste and recycling arrangements
* Co-ordinate with Security and report any faults on access entry system where necessary, either on Landlord end or internal client demise via preferred supplier where support is required by the Regional Security Hub/ the Front of House team
* Raise Purchase Orders for goods or services as required, in compliance of business controls at all times - track spend and challenge overspend against previous years' budget and other financial benchmarks.
* Monitor and update WIP items for extra works and issue goods received notes and statements for payment purposes
* Act as responsible person in line with cost control functions on a local level
* Take ownership and understand customer requirements and be able to demonstrate the ability to close out concerns and ensure customer is kept appraised at all times. Act as deputy in the absence of line management
* Provide and arrange cover for the FM team as defined by line management. Identify and explore opportunities for the strategic development of the contract, to deliver increased turnover and profitability, ensure additional services and projects are added and properly costed to drive contract extensions, wins and re-tender
* Embed and drive provision of healthy and safe working conditions in line with both client and Company health and safety policy and procedures with effective implementation across the company, our suppliers and contractor activities, with regular reviews
* Ensure appropriate control systems to ensure statutory, policy and contractual commitments are met. Ensuring a customer focus within all areas of operational activities, and that effective relationships are maintained with key client contacts
* Delivering effective business communication through advice, review, leadership and direct contribution to management and team meetings, briefings, consultation forums, correspondence, publicity, monthly and ad-hoc reporting and other publications, as appropriate.
* Provide a learning environment, and appropriate training and development planning. Ensure basic training needs are delivered, employees are fully competent to undertake their roles, and can reach their full future potential.
Skills Required:
* Self-motivated with good written and verbal communication skills
* IT literate with strong experience of working with Microsoft Word, Excel and PowerPoint software
* Able and flexible handling a wide variety of items on a daily basis
* Ability to work under pressure
* Customer Service skills
* Able to communicate with all levels of staff in a polite and efficient manner
* Reliable and conscientious worker willing to learn and develop new skills and adapt to new working environments
* Ability to prioritise workload to effectively meet deadlines
* Strong proven Customer Service experience
