Job title: Facilities Coordinator

Duration: Temporary/sick/holiday cover

Duties include the following: • To develop and maintain good working relationships with all stakeholders, including landlords agents; client staff; colleagues and temporary staff or contractors personnel • Manage the reception area to ensure it maintains a high standard at all times. The area should be free from clutter, trip hazards and general defects • Notify main building reception of all visitors expected • Meet and greet all visitors in accordance with company policy or guidelines • Manage the switchboard transferring calls or taking messages as required • Monitor meeting room bookings daily to ensure correct room preparation • Order meeting room hospitality catering as required • Manage the day cleaner activities to ensure key areas such as kitchen and meeting rooms are appropriately refreshed • Receive post, deliveries, couriers etc. Sort items and notify recipients as required. • Take ownership of any requests from client staff and liaise with FM to resolve • Provide administrative support to the FM & DFM as requested. • Provide operational support to the FM & DFM as requested. • Report any Health and Safety concerns to the FM & DFM as required • Ensure accurate record keeping and filing relating to all admin / reception tasks • Control access to the site accident book • Be familiar with all operating procedures within the site operations manual • Be familiar with and support the emergency evacuation procedures Candidate specifications/requirements • Customer service experience • Excellent communication skills • Effective time management and prioritisation skills • IT literate - effective use of Microsoft office applications and switchboard systems • Ability to work independently or within a team • Good level of English (Spoken and written) • Problem solving abilities and 'can-do' attitude
