Working Days and Hours: Monday to Friday, 37.5 hours, 8.30-16.30

Job Purpose

To provide an efficient, effective and confidential administrative support to the Education and Professional Development Team.

Duties

* To work as part of a team, providing confidential administration support to the Education & Development Team to ensure an efficient, effective and seamless service.

* Completing all email requests in a timely manner within deadlines set by line manager.

* Dealing with enquiries, often using own initiative, to ensure a timely response to all communications.

* To act as first point of contact for the team for both internal and external agencies, ensuring discretion and using own judgement on priority of any information received.

* To take responsibility for the efficient organisation of meetings and training on behalf of team and services including venues, meeting rooms, hospitality and equipment as required. Providing support, including the preparation and distribution of associated papers.

* To take and transcribe minutes of meetings.

* To plan, organise and maintain in a timely manner, electronic diaries of team.

* To assist in organising the booking of external conferences, seminars and events as directed.

* To answer, make and receive phone calls on behalf of the team.

* To order any stationery or general office supplies that may be required by the team

* To effectively record and act on messages on behalf of the directorate from clients, outside agencies and colleagues to ensure that timely appropriate action can be taken. To have an understanding and appreciation of confidentiality when dealing with sensitive patient or staff related information.

* To assist in maintaining an effective filling and archiving system ensuring that all documentation and personal records are filed correctly and in the appropriate area allowing efficient and effective retrieval.

* To receive, open and distribute post.

* To undertake other duties as may be determined from time to time commensurate with the role and general responsibilities of this post.

* EPD Reception duties in core allocated times required.

Qualifications, Skills and Experience

Administration experience and use of Microsoft packages.

To possess or be willing to undertake a Level 3 apprenticeship in Business Administration

Proven organisational skills

Intermediate working knowledge of Microsoft Office Applications (Excel, Word & Outlook)

Ability to work on own initiative and under pressure

Ability to recognise the importance, confidentiality and sensitivity of issues and be able to act using the utmost discretion.

Ability to prioritise and deliver work to challenging deadlines

The ability to communicate effectively both written and verbal

Professional telephone manner

Flexible team working approach and ability to provide support and advice to other team members and staff

Able to produce letters, documents etc to a high standard of presentation
