Role Overview:
The role forms part of the Deliveries team focusing on the supply of company vehicles both long and short
term providing the essential interface between GT Fleet and the GT customer base and robustly managing
our third party suppliers, to ensure a consistent, safe and high quality service delivery.
Key Responsibilities:
The job responsibilities and the position to whom the job holder reports may vary from time to time. As a
consequence the job responsibilities will include but may not be limited to any or all of the following items
as required by the Head of Fleet.
• Work with team members to manage the utilisation of fleet vehicles by allocating spare vehicles where a long term vehicle rental is required.
• Utilise the Epyx 1Link Hire Network and other supplier portals to process rental bookings from request to supplier invoice.
• Monitor rentals ensuring rental extensions are processed as required and correctly recorded with GT Plant systems.
• Manage 3rd party suppliers to achieve an efficient, cost effective service to GT employees.
• Ensure order numbers are received for all rental bookings.
• Process all rentals on to the Key2 rental system for recharge to the GT Business Units in a timely fashion.
• Update the Motor Insurance Database as required.
• Update the GT accident management supplier on a weekly basis with vehicle additions and deletions.
• Assist in the ordering of long term lease vehicles with a focus on commercial vehicles.
• Assist in the quoting and delivery of "one off" vehicle rental requirements.
• Continuous improvement in work practices and sharing these with others.
• Comply with safety, quality, environmental and management systems.
• Assist in other duties within the office as required
Experience and Qualifications:
• Knowledge of Key2 vehicle management system
• Intimate knowledge of the Epyx 1Link Hire Network
• Previous experience in vehicle ordering or casual hire
