Intergovernmental organisation with small established Head Office located in Edinburgh city centre offering a rare opportunity to join their organisation as an Administration Assistant.
* Provide support and assistance to the Secretary, Assistant Secretary and Office Manager
* Assist with the management of the property - managing building insurance, H & S matters, organising maintenance and liaising with suppliers
* Assist with managing the relationship with the business tenants
* Assist with the organisation of the Annual Meeting, which is usually held outside Scotland, to provide full Secretariat support
* Organise other meetings, in the UK and overseas - including booking and liaising with venues
* Assist in the collation and formatting of Council and Commission Annual Reports
* Administrative work - typing, electronic filing etc.
* Screening phone calls, reviewing and tracking emails and dealing with administration enquiries
* Maintain stationery supplies and order office furniture
* Log invoices and prepare VAT claims
* Maintain mailing lists, including data entry and validation
* Website maintenance - including uploading papers, adding news and updating calendar
* Excellent written, oral communication and inter-personal skills.
* Computer literate including experience of MS Office and Adobe suite, to edit PDF's
* Experience / training in proofreading and copy editing beneficial but not essential
* Ability to work under pressure and to tight deadlines
* Good organisational and time management skills
* The ability to work in a team and under own initiative
* Excellent attention to detail with diplomacy and discretion
* Ability to travel abroad for the Annual Meeting and occasional other travel
