We currently have a temporary vacancy for an experienced receptionist / administrator to work for our client based in Chesterfield.

The role is in the Calow area of Chesterfield and Monday to Friday, until the end of July 2022.

Reception Duties:
Providing a professional front of house reception service for the Facilities Department, ensuring that all customers receive a friendly, courteous and efficient service.
Ensure contractors and visitors are signed in and are issued keys and passes as appropriate.
Coordinate contractor inductions using the site induction electronic tool.
Manage and maintain up-to-date diaries for various Department Managers, arranging meetings and appointments on a daily basis.

* Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
* Make and serve refreshments, ensure the reception area is kept clean and tidy at all time
* Behaving in a manner that is welcoming to and of the individual, is non-judgmental and respects their circumstances, feelings priorities and rights.

Communication:

The post-holder should recognise the importance of effective communication within the team and will strive to:

* Communicate effectively with other team members
* Communicate effectively with external and internal customers
* Recognise people's needs for alternative methods of communication and respond accordingly.

Administrative Duties:

Provide administrative support when required for recruitment of new staff members to include checking of DBS, right to work and ID check documentation.

Actively use the Agresso system to place orders and process invoices as requested by Facilities managers - Training will be provided for this.

Produce accurate word processed documents from hand written or digitally dictated material to ensure they meet the directorate requirements.

Manage and maintain up-to-date diaries for various Department Managers, arranging meetings and appointments on a daily basis as requested including room and hospitality requests.

Implement and maintain records and filing systems for the service to ensure easy access and retrieval.
Ensure all in-coming and out-going mail, email, enquiries and correspondence are dealt with in an appropriate and timely manner on behalf of the service.

Assist in all routine office procedures, to include inputting of data, photocopying, ordering stationery, filing and faxing.

Required to work independently, using own initiative, prioritise workload to ensure deadlines are met.
