Are you an experienced administrator? We are recruiting for an administrator to work for a Medical client at their site based in Livingston on a contract basis for 12 months initially.
The successful candidate will be able to provide administrative support in areas of typing, expense reports, confidential correspondence, file management, travel arrangement and office supply ordering.
You will be highly organised, and able to work collaboratively, along with the ability to maintain the office environment.
Responsibilities:
Provides administrative support in areas of typing, expense reports, confidential correspondence, file management, travel arrangement and office supply ordering
Opens, sorts, prioritises and distributes incoming communications and other provisions
Maintains calendar(s) and arranges meetings
Provides relevant staff with reminders of upcoming events and projected related deadlines
Coordinates, prepares and edits reports and presentations
Prepares memorandums
Organises files, assembles relevant data, compiles statistics or information as directed for use by others
Makes travel arrangement, prepares expense reports and process invoices, maintains financial and expense records
Handles confidential matters requiring discretion and judgement
Greets vendors and visitors
Responsible for maintaining the office environment
Experience:
Previous business experience
Preferably experience in a regulated/quality environment (e.g. medical devices, pharmaceuticals)
Personal computer skills, MS Windows, MS Office (MS Outlook, Word, Excel, PowerPoint, Explorer)
Microsoft Office extended (Visio, Project, Access)
Strong communication skills
Strong organisational skills
Listening and sharing ideas
Sharing tasks and responsibilities
Problem solving and resolution skills
