Senior Office Administrator
Provide comprehensive administrative and financial support to ensure that administration systems support the core operation and day to day management of the store finances. Carry out the role of Duty Manager on a roster basis including weekends
- Manage and oversee all administration systems to ensure efficient administrative support to the Management team; including holidays, sickness and Duty Management roster.
- Work closely with the Manager taking a lead role in day to day admin operations to deliver a level of service that supports and assists the wider management team in delivering their KPIs. Maintain an overview of admin systems and introduce changes where improvements can be achieved.
- Responsible for the effective administration of the online accounts system ensuring timely and accurate processing and recording of all invoices.
- Set up and input all orders on the controlled Purchase Order System (spreadsheet). Responsible for checking and processing expenses. Liaise with external contacts and Head Office where required, to resolve any invoice queries to ensure that errors or discrepancies are dealt with as efficiently and quickly as possible.
- Prepare accurate financial information, including reports and spreadsheets required for the monthly Management Report within a pre-set timetable.
- Provide excellent customer service in response to customer enquiries via phone, website and social media.
- Establish and maintain strong relationships with all clients facilitate delivery in a range of areas for the benefit of the retail giant
Act as a first point of contact for all enquiries; resolving where possible or escalating as appropriate.
Liaise with retailers to resolve customer concerns finding permanent solutions to reoccurring issues.
Be aware of retailer events and ensure communicated effectively to the wider centre management
team to ensure they are well managed and avoid any negative impact on other retailers / operators.
Assist with the collection of retailer sales data and the input ensuring both retailer
participation and weekly compliance targets are delivered
