Part-Time Administration Assistant

Mansfield Woodhouse

27.5 hours per week, Monday-Friday

GBP10 per hour

Due to expansion, we have a great opportunity for an experienced Administration Assistant to work for our super busy client in the Mansfield Woodhouse.

Within the role of Administration Assistant, you will:

* Be responsible for carrying out general administration duties to support the day-to-day operations of the Company

* Manage the Company email inbox, ensuring all enquiries are handled in a timely and courteous manner, forwarding them to appropriate members of the business where necessary.

* Acting as the first point of contact for any incoming telephone calls, transferring calls appropriately and acting as a filter / gatekeeper for inbound sales calls.

* Logging of Client requests as they are received, to ensure that they are promptly followed up by the appropriate person within the team.

* Welcoming guests to the premises including showing them to meetings, offering refreshments, etc.

* Carrying out sales administration duties when required to support the sales team, carrying out tasks such as processing of new sales orders, logging quotes, and sending new customers terms and conditions, etc.

* Supporting the accounts department by sending through completed orders for invoicing and assisting with data entry for the purchase ledger.

* Booking outgoing parcels with courier(s)

* Signing for incoming shipments from couriers and checking for damage on receipt

* Scanning incoming mail and forwarding/filing internally as appropriate,

* Requesting quotes and lead times from suppliers/factories as required

* Ordering parts and materials from suppliers/factories as requested,

* Making telephone calls to suppliers, customers and contractors as required

* Supporting with arrangements for exhibitions and tradeshows

* Making travel arrangements such as booking train tickets, booking air travel, booking domestic and international hotels etc as required

* Arranging for the collection/delivery of faulty parts to go back to their manufacturer for warranty repairs and following up on their status as needed

* Filing various types of paperwork such as incoming mail, invoices, delivery notes, purchase orders etc as required

* Updating the shared calendar as required.

From time-to-time the admin assistant may also be required to perform other reasonable job-related tasks as requested by the management team.

We are looking for candidates with experience of

* Fast paced administration, gained within a similar role

* Computer literate with strong skills in MS Word and Excel

* Great attention to detail with the ability to work on your initiative and in a busy environment.

* Fantastic customer service with the ability to talk to people at all levels.

This is a temp to perm opportunity, going permanent with the Client following 12 weeks in the role (subject to performance and conduct).

Pay and Benefits

* GBP10 per hour, paid weekly in arrears

* This will rise to GBP11 upon securing a permanent contract with the Company, and will then be reviewed again following 6 months in post.

* 28 days holiday, includes statutory bank holidays. Additional 3 holidays awarded per year following 6 months in the role.

Hours of Work

Monday - Friday, 9am - 3pm (with 30 mins unpaid break).

Flexible working arrangements can be discussed, e.g. school working hours, job share, etc.
