Job Title: Trainee Property Manager

Job Location: Nottingham

Salary: GBP18,500

Days: Monday- Friday / Alternate Saturdays

Our client is a well-established Independent Estate and Lettings agent situated in Nottingham. They are looking for a Trainee Property Manager to join their Lettings team, who pride themselves on offering the very best customer service.This is a varied role which requires good time management skills and a real team player. The role is predominately to carry out all the duties of property management.

Job Role:

Property Management

  • Professional meet and greet
  • Fully coordinating a small portfolio of properties
  • Ensuring all new landlords have full documentation i.e. T & C and appointment form per property
  • Upload new landlord's details onto EA (Expert Agent)
  • To book viewings, ensuring that the viewers time is well used throughout the day on behalf of Lettings Negotiator
  • Accurately registering applicant's details on EA
  • Managing and preparing all documentation for new tenants ahead of their move in date and for end of tenancies
  • Managing end of tenancies check outs via emailing existing tenancies check out procedure
  • Conducting/arranging mid-term inspections and followed up with tenants if any issues. Also informing landlords inspection has been carried out.
  • Ensuring the accuracy of landlord's and tenants data is uploaded on to Expert Agent
  • Issuing out renewal's reminders to landlords
  • Tenant referencing, immigration and guarantor checks and documentation are carried out and issued on behalf of Lettings Negotiator in their absence
  • Drawing up tenancy agreements if required for Lettings Negotiator in their absence
  • Arranging check-in's / outs
  • Preparing welcome packs for check in's
  • Arranging and booking in the diary viewings, check-in's / outs
  • Ensure properties are ready and checked before inventories are completed and tenants move in
  • To cover emergencies evenings and weekends on a rota basis during holidays
  • Maintain the lettings folder packs
  • Maintain/update the welcome packs
  • Prepare deposit deduction report at the end of tenancy with 24 hours of tenants vacating the property and submit a copy to accounts
  • Ensure keys are returned and sufficient sets are maintained within the office
  • Email out when appropriate a google review to landlord and contractors or any other party you see fit
  • Any adhoc duties as and when required

Maintenance

  • Manage all aspects of maintenance on fixflo and ensure works raised by tenants are responded to within 24 hours and maintenance issue is resolved within 72 hours and closed off on fixflo
  • Negotiate contracts with contractors in a timely and reliable manner
  • Source and verify new contractors and upload on fixflo

Customer Service & Business Development

  • Acting as the first point of contact, taking calls from landlords or tenants, and dealing with any queries
  • Prompt (same day) responses to landlord or tenant's enquiries, through which ever channel they are received (telephone, email, face to face)
  • Source and build relationships with prospective landlords to expand business opportunities
  • Maintain a positive, productive relationship with tenants and landlords

Compliance

  • Authorising the return of deposits
  • Ensuring the deposit and prescribed information has been served to tenants to the correct timescale and copies uploaded onto EA
  • Ensuring properties are legally compliant and all certification copies are uploaded onto EA
  • Maintaining and keeping up to date with property legislation, compliance, and licensing
  • Ensuring all properties meets all health & safety requirements and fire risk assessments
  • Issue section 8,21,48 and 13 when applicable

Financial

  • Ensuring landlords are invoiced correctly for tenancy renewals, inventories etc as per company's price list and email notification to accounts
  • Chasing rent arrears on behalf of accounts if required
  • Prepare weekly stats for Tuesday office meetings
  • Prepare monthly stats for Managing Director
