About us

Survivors of Bereavement by Suicide is the only national charity providing free peer to peer support to those over the age of 18 years who have been bereaved by suicide. We offer support through a number of services including a national telephone helpline, face to face and virtual group meetings and email support while our on-line forum enables us to facilitate support to those across the world. To support these services, we have a small but rapidly growing team of staff based at our head office in Ilkeston.

We are currently looking for two experienced administrators to join our dedicated friendly team and provide further essential support to both our office staff and our volunteers. Our work is sometimes challenging but always rewarding and both posts offering the potential for further progression opportunities. JOB TITLE: Administrator

RESPONSIBLE TO: Office Manager

LOCATION: SoBS Head Office, 14 – 16 New Lawn Road, Ilkeston. DE7 5HE

HOURS: Up to 37 per week (Minimum 25 hours per week) - hourly rate £9.50

Probationary period: Six Months

Reporting to: Office Manager

It is essential for the post holder to demonstrate an ability and commitment to undertake a comprehensive range of duties within the general level of responsibility of the post

Duties & Responsibilities

  • To assist in the provision of administrative support to the Head Office team
  • To work flexibly within a broad range of functions within the charity
  • Deal with internal and external phone, email and postal enquiries/queries from professionals, volunteers and survivors with sensitivity
  • To use computer systems to input data and produce documents using Microsoft office packages and bespoke software including on-line graphic design
  • To maintain electronic and manual filing systems, document management and record keeping and undertake associated tasks including data entry and scanning
  • Assist in bookings and preparing documents for events
  • Undertake general clerical duties, for example photocopying, filing, data cleansing, collation of information folders etc
  • To commit to, and work within, the aims principals and policies of SoBS
  • Maintain confidentiality and observe GDPR guidelines
  • Act in accordance with the charity’s Health and Safety policy/procedures
  • Act in accordance with the charity’s Equality, Diversity and Inclusivity policy
  • To provide cover for other members of the administration team as necessary
  • Carry out any other reasonable duties which may arise within the scope of this post

In addition to these duties each role will have its own responsibilities which we expect will reflect the details below although these may be subject to change depending on the skills of the successful candidates.

Post 1

  • Preparation and updating of basic posters, leaflets and literature using bespoke software Supporting with the preparation of the volunteer monthly newsletter
  • Ensure adequate levels of supplies i.e. stationery, publicity and merchandise material and place orders appropriately
  • Preparation of publicity information prior to publication
  • Updating group maps
  • Liaising with external organisations such as Hub of Hope and Adoodle
  • Responding to and preparing volunteer, professionals and general public on-line stationery, resource and shop orders

Post 2

  • Provide financial support including basic inputting, banking of cheques
  • Preparation and sending out thank you letters
  • Building and publishing Jotforms
  • Responsibility for continuing to maintain and improve the bespoke volunteer information system Volunteer Impact through embedding links, creation of custom fields, tracking of anniversaries, uploading documents etc
  • Supporting Volunteer Co-ordinators and Volunteer Administrator with training and tracking/sourcing support material
  • Helpline rota support

  • Forum applications
  • Process Gift Aid claims
