Alderton Associates are a Chartered Building Surveying practice based in Chelmsford, Essex. We provide specialist services for a range of private and public sector clients in services such as Architectural Plans, 3D modelling and visualisation, Planning and Building Regulations, Party Wall Matters, Project Management and other specialist areas of surveying and construction. We are seeking an experienced Office Manager/Administrator to join our team of seven surveyors and drawing technicians to provide support, manage the office and report to senior management. This is a busy and varied role and a great opportunity for a self-sufficient individual.
Role Description
- Assisting in managing of purchase and repair schemes for housing association clients.
- Monitor and manage company accreditations.
- Manage accounts, credit control and invoice chasing, experience in Sage or similar is essential.
- Invoicing, quotations, insurances, phone calls, diary and bookings as necessary.
- Assisting with HR functions by keeping personnel records up to date.
- Supporting the Directors email and diary management, answering telephone calls, responding to emails, preparing letters, typing up handwritten site notes, meeting minutes, reports, and specifications, etc.
- Manage and maintain daily and weekly office duties, day to day management responsibility.
- Organise CPD’s and training for the team.
- Communicate with clients, contractors, and colleagues to maximise efficiency.
- Plan and manage office and contractor services such as equipment, supplies, services, and maintenance as necessary.
- Oversee and co-ordinate administrative duties and ensure that the office is operating smoothly.
- Provide other administrative support as necessary.
Experience, Qualifications and Skills
- Previous management and experience within similar surveying practice or construction/property related business would be an advantage.
- Meticulously organised with a keen eye for detail.
- Confident and outgoing with the ability to work quickly and accurately within a busy office environment.
- Must be proficient with Microsoft Office.
