We have an exciting opportunity for a Receptionist to join our team on a part-time basis on the Honeywell site based in Leicester. This role will play a key role in supporting our client's site operations by ensuring their front of house activities are managed effectively and in-line with their corporate guidance.

Job Purpose

As part of the FM team at Honeywell Leicester, the purpose of the role is:

To ensure that customer satisfaction is maintained at the highest level by providing a high quality and pro-active service. To ensure effective communication with client, peers, building tenants and management at all times.

The receptionist role is responding to a wide variety of on-site requests and creatively exceeding expectations. Our teams anticipate and tackle challenges before they arise to make it easier and more fun for individuals to do the work they were hired to do.

The successful applicant for this role will deliver all reception duties daily. A disclosure background check may be required for the successful candidate.

Main responsibilities:

Understand and comply with all client and CBRE QHSE policies and procedures

Maintain a clean and safe workspace, complete QHSE and client documentation

Site first point of contact, answering telephone calls and operating Honeywell switchboard

Site morning mobilisation (opening doors, blinds etc ensuring lights are on)

Provide required support through redirection to incoming callers

Conference room and hospitality bookings

Conduct and record visual compliance checks

Create and collate security/access badges, Car park passes and maintain site key register

Point of central communication for the site - Issue site-wide emails at the direction of the site lead

Post/Incoming Mail duties

Stationery orders and stock level control

Receiving and logging parcels

Ensure visitors/calls are dealt with in a welcoming, courteous and professional manner, seeking to anticipate their needs where possible

Ensure guests and visitors to site are greeted with a courteous friendly manner while informing their host promptly

Ensure image of front of house is maintained

Process and monitor requests to book meeting rooms / training rooms, ensuring all requirements are satisfied. (AV, seating layout, hospitality, climate). Monitor conference room booking system, ensure we deliver a proactive and professional service to client

Manage building access passes - creating new passes, deleting leavers ones and ensuring any amendments to access permissions are updated

Manage the Honeywell Envoy visitor management system

Ensure the key log is kept up to date

Opening unnamed post, ensuring it gets to the right department for actioning

Maintain and actively work on the Reception filing system, keeping it up to date and within the CBRE procedure

Ensure that clients security and emergency procedures are adhered to at all times, taking an active role in an evacuation of the building as laid down in the Incident Control procedures

Liaise with security to ensure overall service to users in the building is maintained

Maintain security and safety standards as required, ensuring that visitors are escorted and contractors do not have access to areas without the appropriate authorisation or supervision maintained

Continually communicate building issues to end users, client and CBRE Management team. Escalate urgent issues identified through to the Facilities Supervisor

To work within the requirements of the clients / CBRE Health & Safety Policy, ensuring that all non-conformances and opportunities for improvement are reported to the Facilities Management Team

Work with and support other members of the team

Follow all Health & Safety and Environmental requirements that are defined on work instructions or communicated in training

Carry out any other reasonable tasks as and when required as requested by CBRE FM team.

Essential Experience
