My client has a fantastic opportunity for an Estates Administrator to join their company! Within the role you'll provide a proactive administrative service to the Estates Manager and the estates team.
Your new role
* Handling inbound and outbound mail and inbound deliveries on a daily basis
* Acting as the primary point of contact for the Estates Department for staff, contractors, suppliers and delivery personnel
* Maintaining and organising all essential paperwork and the internal database, as well as managing the administration of service contracts ensuring that records of insurance, schedules, invoices and remedial works are logged onto the IT based system
* Managing stationery and supplies, including larger items such as furniture and equipment
* Liaising with utilities companies, ensuring reading are taken and any discrepancies are reported to the Estates Manager
* Processing invoices for authorisation by the Estates Manager, logging all expenditure on the Estates Credit Card, ensuring purchasing policies are adhered to at all times
* Liaising with the Maintenance Manager to monitor and assist with allocating maintenance work loads
* Acting as the primary user in the Estates department of the Health and Safety software ensuring all accidents are logged, all training is updated and risk assessments are reviewed on time
* To provide general administrative support as required including calendar management, coordinating/organising meetings, taking minutes, correspondence, filing, travel booking, preparing spreadsheets and copying
The ideal candidate:
* A positive and friendly manner with good face to face communication skills and telephone manner.
* The ability to prioritise, multi-task and work accurately and efficiently ensuring deadlines are met.
* Familiar with the use of management information systems and able to enter data accurately.
* Experienced and proficient user of MS Office particularly Word, Excel and Outlook.
* Knowledge of facilities maintenance and related Health & Safety legislation.
