Front of House - Reception, Facilities and Security

New Basford (they have parking or 5 mins walk from a tram stop)
Monday to Friday - 9am - 5.30pm
Overview:
Our creative client is well established, expanding and friendly. They are experts in their field who truly value their staff. They are looking for a friendly, outgoing, and organised front of house receptionist to be first point of contact with their customers and visitors, the role will also involve a wide range of administration tasks to support the business and exec team. The role will report to the facilities manager.
About You:
- Two years' experience in a front of house or customer service environment.
- Work well under pressure, use good time management, be a good team worker, with ability to multi-task
- Excellent interpersonal skills with the ability to keep calm in a pressurized environment.
- Professional, friendly, and enthusiastic attitude with a desire to provide great customer service
- Strong written and oral communication skills at all levels.
- Keen eye for detail to identify security or health and safety issues.
- Proficient IT skills with the ability to learn new systems quickly. MS Office (Outlook, Sharepoint, Teams),
- Ability to quickly learn and retain knowledge with regards to processes.
Responsibilities will include:
- Greeting customers and visitors and ensuring that all visitors sign in and out of the building correctly.
- Sorting incoming and outgoing mail and small deliveries.
- Ensure staff and car park registers are up to date.
- Manage the room booking system and ensure that rooms are in order in conjunction with facilities team.
- Organise travel and hotel bookings for the exec team.
- Arranging taxi's for visitors and checking monthly taxi invoices.
- Organise catering for meetings.
- Planning and organisation of company events.
- Organising customer collections.
- Identify and communicate security or health & safety issues that need addressing.
- Ensure reception area is clean and tidy and that Covid safe PPE and cleaning materials are available at all times.
- Ensure that internal issues with subcontractors are addressed and communicated effectively to management.
- Assist with facilities tasks such as fire safety testing and fire drills.
- Ordering stationary and managing consumables stocks for Nottingham sites.
- Producing purchase orders for general consumables and ad-hoc requests.
- Archiving documents on the company Sharepoint system
- Other administration tasks as required, appropriate to the position.
