To provide full project administration support on all company projects, assisting the Project Co-ordinator and wider team. The role is to perform all round admin duties from minute taking and recording, invoicing, scheduling meetings and travel, answering calls and to serve as the main point of contact for the office. This will also include providing updates to the website, company literature and social media profiles as necessary.

General Duties:

* Type all minutes taken from all meetings, ensuring minutes are typed, checked, and distributed to the relevant parties with 48 hours of each meeting.

* Follow up team members actions from meetings and provide support for monitoring and chasing consultants' actions, including the use of 'Teamwork' to efficiently track external actions

* Managing company correspondence, team members expenses, phone calls, emails, letters, and incoming/outgoing packages and post

* Photocopying and filing

* General office admin duties - maintaining stock levels and placing orders for office supplies/repairs as required

* Setting up project meetings, team meetings and client meetings as required, create agendas accordingly and ensure these are distributed in advance of each meeting.

* Monthly invoice management for ongoing projects - check, record and send to developers for approval

* Monitor and oversee the 'invoice' mailbox

* Complete administration as required on all project sites.

* Personal admin - on occasions there maybe tasks to complete for members of the team

* To undertake any other duties as requested

About you:

* Excellent attention to detail - always ensuring quality and professional outputs in written correspondence to clients

* Excellent verbal and written communication, a confident communicator through all mediums

* Solid organisational skills, including multitasking, time, and project management

* Strong client-facing and teamwork skills

* Willing to show initiative, innovativeness and confident in decision making

* Professional manner - representing the business in a positive way at all times

* Able to work autonomously and in a reactive way

* Robust working knowledge of Microsoft Office. Microsoft Project and Teamwork would be a great advantage but must be willing to train on these if successful

* Strong personality and a flexible approach

* Excellent Stakeholder Management - developing and nurturing positive working relationships for the benefit of the business

Location: Bedford

Hours: 15 hours across Tuesday, Wednesday, and Thursday

Salary: GBP18K pro rata
