We have an exciting opportunity for a Soft FM Contract and Service Assistant, to provide a proactive and professional support service to ensure that outsourced services, end to end, are delivered and discharged effectively and cost efficiently to meet the Client requirement.
Working within the Soft FM Team, the successful candidate will be responsible for providing co-ordination and administrative support across a range of services, delivering to agreed standards and specifications. Maintaining appropriate systems and controls the candidate will support and underpin the delivery of services in relation to:
* Cleaning and hygiene
* Waste and porterage services
* Accommodation
* Catering and hospitality
* Nursery provision
* Pest control
Primary duties to include:
* Administration of diaries to ensure monthly/quarterly/annual meetings take place.
* Issuing of agendas, prior months minutes and any further related paperwork or reports.
* Developing and maintaining schedules of monthly joint audits for the cleaning contract.
* Maintaining records of audits independently carried out by the cleaning supplier on a monthly basis and by the Soft FM Team.
* Cataloguing and maintaining feedback and photography for use as marketing for the service contracts
* Engagement with internal customers (Help desk/maintenance teams) on a regular basis providing and facilitating effective interfaces between Customer and Supplier.
* Provide secretariat function for Contractual Performance Meetings and liaising with internal teams as required
* Ensure that the service related web content is monitored, reporting where content is not up to date and support the development of new content and communication.
* Support the improvement of business processes to reduce wastage and administration burden on contracts.
* Work closely with the Help desk to triage requirements through the "Soft FM" inbox
* Account reconciliation and preparing account payments for approval, submitting journals, checking deductions.
* Maintain records of all Health & Safety Legislation and STFC's SHE codes relating to the Contract(s) including Fire Safety Risk Assessments
* Maintenance of records to ensure that RAL is compliant with licences: TV, Performing Rights Society (PRS), Phonographic Performance Licence (PPL), Premises, Waste and Environmental.
About you
Ideally you will have a GCSE level education to include English and Maths or a Level 3 qualification or equivalent.
You will have experience of delivering customer service / administrative support in a busy environment and staying calm under pressure.
Have a high level of numeracy and literacy and be well organised
Be able to undertake financial processes and transactions e.g. invoicing and recharging
Experience in recording, maintaining, managing and extracting data from IT systems
Creating and adapting spreadsheets for operational requirements
Ability to streamline and improve processes and systems
Ability to establish, develop and maintain successful supplier relationships
Handling complaints and service issues calmly and providing resolution
Proficient ICT skills across Office applications - must include Word, Excel, Outlook and be adept at using web based systems
