We have an exciting opportunity for an Administrator to join our Devon reserves team to undertake a variety of administrative tasks, supporting reserve delivery to conserve the wildlife, habitats and landscapes in Devon.

Working closely with the Site Managers, visitor operations team and volunteers, you will be responsible for undertaking administrative and financial tasks, including:

  • Submitting expenses claims;
  • Raising purchase orders;
  • Monitoring our financial information;
  • Using our volunteering system ‘Assemble’ to provide information to our volunteers;
  • Collating newsletters and time sheets;
  • Managing data and managing our offices;
  • Supporting local teams with:
    • booking travel and accommodation;
    • organising and maintaining materials and equipment;
    • diary bookings and fleet car administration; and
    • ensuring deadlines are met whilst maintaining a high standard of work.

The Devon reserves teams cover sites in and around Exeter and in North and East Devon. We have a strong presence on the Exe estuary and the East Devon Pebblebed Heaths, with respective offices in Exminster and near Aylesbeare. You will need to be able to travel to both offices regularly, however working arrangements can be flexible and you will not be expected to work from the offices 100% of the time.

To be successful in this role, you will:

  • Be proactive and personable - you’ll communicate with many people by email, on the phone and face to face;
  • Be organised and thorough - completing jobs under your own steam in a systematic way
  • Have great attention to detail.
  • Be responsible for a small team of office volunteers

The role is varied and involves working across a range of tasks, and you will have the freedom - and responsibility - to prioritise your own work as you communicate with people across the organisation. You will be part of two small and friendly reserve teams (six at Aylesbeare and seven at Exe Estuary) and work closely with the Site Managers who line-manage this post. You will also work closely with our visitor operations team to support the management and running of events, and be part of an Administrators network, sharing best practice across the RSPB.

Essential Qualifications, Knowledge, Skills and Experience

  • Good working knowledge of Microsoft Office 365 applications and tools, especially Outlook, Word, Excel, Microsoft Teams, OneDrive and PowerPoint
  • Knowledge of budget management terminology and processes
  • Knowledge of document management and team collaboration tools
  • Proactive approach to problem solving
  • Be active and willing to learn new software and processes and implement them effectively with the team
  • Organisational and time management skills
  • Able to communicate and engage effectively with a wide range of audiences whether by phone, video, email or in person
  • Able to organise and coordinate all aspects of meetings and events logistics
  • Able to make the best use of time particularly when under pressure from competing priorities, prioritising and delegating tasks effectively, during periods of both low and high demand.
  • Experience of working in an office or customer care environment in an administrative role
  • A minimum of 5 GCSE’s, including Maths and English
