We have an exciting opportunity for an organised and driven individual to join an education provider in Exeter in an operations support role. This is a fixed term contract to cover a maternity leave. This role would suit someone who has previously worked as a PA, Office Manager or supporting a team.

JOB TITLE: Department Operation Support Officer

LOCATION: Exeter

HOURS: 37 hours per week, Monday to Friday

SALARY: GBP22,500 - GBP23,900 per annum dependant on experience

DURATION: Fixed term contract (Likely 6 - 12 months)

THE COMPANY AND THE ROLE: Our client, a well known provider of education in Exeter, is looking for a Department Operation Support Officer to join one of their successful academies. This is a varied role in which you will be the leading support professional responsible for the smooth & successful running of the department. You will support the Head of Department with a wide range of duties including educational, operational, business and financial responsibilities.

YOU WILL BE RESPONSIBLE FOR:

Providing operational, business and administrative support to the department under the direction of the Head of Department.
Taking an operational lead on the department's Financial Resources, Administration, Facility Management, Health & Safety and Data Protection
Ensuring that all administrative tasks within the department are carried out effectively and efficiently.
Providing a reception function for visitors to the department and dealing with all enquiries promptly and efficiently
Providing secretarial support to the Head of Department
Ensuring the smooth day to day running of the department
Working with the Head of Department and Management Group to generate and maintain information relating to students, staff and resources, using specialised databases and software
Attending and minuting department meetings
Ensuring that room requirements, department communications and timetable changes are in place to facilitate teaching cover requirements for absent members of staff
Coordinating budget(s); proactively supporting to ensure that the budget(s) is well managed and spent in accordance with the financial regulations and that all end of year financial processes are fulfilled
Keeping and maintaining accurate records, including the ordering of materials, production of contracts, petty cash expenditure, student visits, and any other records of spend or budgetary requirements/evidence.
Processing income, purchase orders, budget transfers and resource charges

WHAT WE ARE LOOKING FOR:

Significant experience of working in an administrative support post
Familiarity with budgeting and financial management systems
Previous experience working to tight deadlines
Ability to work independently, without supervision, managing own workload
Excellent IT skills
Excellent interpersonal, communication and customer care skills
Ability to maintain accurate records
Ability to multi-task
