IAPS have an exciting opportunity for a Sports Events Co-ordinator to join their team based in Warwick on a full-time, permanent basis. The role is office based, Monday to Friday, 9am - 5pm. IAPS are offering a competitive salary of GBP21,000 - GBP25,000 per annum depending on experience.
IAPS is the largest independent school association (with over 660 of the world's leading prep schools) which provides member heads with relevant, up-to-date information and advice, an extensive CPD programme for staff and a vibrant sports events programme.
The role will provide administrative and organisational support for the national sports programme. The role plays a pivotal role in coordinating the organisation of sports events, and to support the delivery of other programmes and activities.
Main Duties and Responsibilities:
* Work with the Sports Events Manager to coordinate the IAPS Sport Programme
* Responsible for all pre-event administrative including:
* working closely with event organisers to provide administrative support
* creating and managing event bookings online, cancellations and waiting lists
* collate and distribute competitor details
* coordinate the publication event results on the IAPS Sport website
* collate and publish event programmes online
* Work with all swimming organisers to coordinate the qualifiers including:
* coordinate the entry numbers for each swimming gala
* provide support to all schools with data entry into Hytek (swimming gala data system)
* provide support to organisers using Meet Manager (swimming gala data system) for the swimming gala
* Responsible for creating the content for the weekly sports e-newsletter and social media posts, working closely with the digital marketing officer
* Act as the Deputy Safeguarding Officer for the programme
* Attend sports events throughout the year as an IAPS representative
* Provide administrative support where required for the IAPS Director of Sport Conference, the IAPS Awards, the Multisport Camp and any additional projects.
Knowledge, Skills, Experience and Attributes required:
* Previous administrative or events assistant experience
* Strong administrative and IT skills including Microsoft Outlook, Word & Excel
* A keen eye for attention to detail
* Experience of developing and maintaining positive working relationships with colleagues, stakeholders and partners
* Excellent communication skills- written, verbal and face to face
* Good time management skills and the ability to prioritise workload
* The ability to work under pressure and meet tight deadlines
* Excellent team player
* An interest in sport
* Willing to travel, stay overnight and work flexibly
