Title: Operations Administrator
Reports to: Operations Co-ordinator
Aim of the role: To provide administrative support to the Operations and Senior Management Team.
The role of Operations Administrator is varied and includes liaising with outside agencies, taking notes of meetings, answering the telephone, queries, and other general and operational administrative duties. Your role will encompass but will not be limited to the following:
• Provide general administration and support as part the company operations team.
• Weekly attendance to the resource meeting via Teams, taking notes of the meeting and distributing to all afterwards via email.
• Provide support to field staff for day-to-day activities. Taking messages and supplying
information as requested.
• Creation of SMS in conjunction with relevant Project Manager ensuring distribution to customer in advance of works. Guidance and training to be provided by Operations Coordinator and Project Managers
• Daily appointment and online paperwork management via Eworks, including the loading of SMS and RA's in good time before the start of works.
• Printing and compiling job folders ready for the field staff as required.
• Assist with monitoring of company Eworks management system to check appointments etc are completed daily by the field staff.
• Maintain the Critical Equipment Register, ensuring equipment is serviced on time and remains in date for use.
• Monitor and scheduling the servicing/MOT's for the company fleet of vehicles.
• Booking of accommodation, equipment and other requirements for specific jobs as instructed.
• Raise all necessary purchase orders as requested for materials, plant and subcontractors.
• Liaise with sub-contractors to obtain relevant completion documentation.
• Responding to client and depot requests for works and info
• Management of waste register in line with current IMS and regulations.
• Ordering of company stationary as required
• Help to ensure the offices premises stay in a clean, tidy and presentable manner at all times
• Book meeting rooms, venues and transport arrangements as required
• Ensure all invoices received are matched to purchase orders and sent to the accounts team in good time.
• Complete general administration and finance tasks as required for the job.
• Management of your own personal career development within appropriate associations and development of your training to suit and match REDS service provisions.
Candidate Profile
• A minimum of 12 months administrative experience
• Excellent ICT skills and proficient in the use of Microsoft Office applications
• Good attention to detail
• Good written and verbal communication skills
• The ability to multitask and manage time effectively
