Our client is a beautiful hotel, based in a stunning location on the banks of the River Thames.

This position is part of the Conference and Events Team. As an Assistant Manager he/she will be expected to plan strategy and work for the best interests of the Hotel across the business, taking responsibilities for various project co-ordination roles as required.

KEY RESPONSIBILITIES

To assist in the day-to-day running of the Meeting & Events office and work with the M&E Sales Manager, to ensure that the departmental standards are maintained in respect of quality and service

Work with the M&E Sales Manager to co-ordinate the administration and operation of Conference Centre and facilities ensuring efficient service at all times including ensuring full reception and welcome service for all delegates

Assist in supporting and managing the team to plan, execute and follow up on all meetings and event enquiries, conversion, contracts, final details and direct liaison with the Client on the day of the event and co-ordinate the required activities to make the event run smoothly.

Oversee all manner of events including meetings, conference, functions and elite sport

Ensure proper procedures and administration including but not limited to billing, invoices, and reservations are effectively implemented and adhered too

Manage all aspects of an event from initial enquiry to post stage and handle in a professional and efficient manner in accordance with the Company and Hotel standards

To endeavour to confirm bookings at the earliest possible stage maintaining a high conversion rate including negotiating and up-selling as necessary to maximise all potential revenue

Respond to all sales leads and clients to secure profitable business for the Company and Hotel

Have thorough product knowledge of the Hotel and the services available across the resort and to be fully conversant with any current promotions, special offers, sales and marketing initiatives

Produce all relevant reports as requested within the agreed time scales, including financial reviews, budgets, future business, provisional leads and detailed function sheets

To liaise closely with Meetings & Events Operations and Kitchen departments within the Hotel to build up a close working relationship and highlight relevant information or special requests regarding specific events or functions

Handle complaints in a competent and professional manner, passing full details of any complaint promptly to the Events Manager/Director or Senior Management team

Assist in entertainment, promotional and marketing activities as requested e.g. client familiarisation trips

Be conversant with all health and safety aspects, ensuring that legislation is met.

Undertake any reasonable requests made by management
