Your World Healthcare is a leading specialist healthcare recruitment agency, placing a range of healthcare professionals into Non-Clinical and Clinical positions. Our healthcare client based in Stockton-On-Tees are currently hiring for a Medical Administrator to join their team.
1. Are you an experienced Administrator with relevant experience gained within the NHS, Private Healthcare or Public Sector?
2. Do you have experience using SystmOne, Trakcare, ICE or a similar healthcare system? (Highly advantageous)
3. Are you competent using MS Office Applications i.e., excel, word and outlook?
4. Are you happy to work from 8:30am - 4:30pm pm Monday to Fridays (on-site) on a temporary basis, expected to last 4-6 months, however, potentially may be longer in Stockton-On-Tees>
5. Are you happy to register with Your World Healthcare to begin employment, as part of your application process? (Please note: This is mandatory to commence employment successfully).
6. Do you have a current Clean enhanced DBS issued within last 12 months or a current valid DBS certificate registered on the update service (with photographic evidence of this)?

Working days and hours: Monday to Friday, 8:30am-4:30pm
Main Duties and Responsibilities
Providing administration support, by effectively and efficiently coordinating patient data/information
Ensure that all administration requirements are carried out to a high standard of quality, which meets all departmental, and organisation requirements / procedures and policies.
Processing and retrieving new referrals into the services via patient's electronic record systems e.g., SystmOne, Trakcare and ICE, using several different referral processes.
Act as a telephone operator, answering incoming calls and making outgoing calls as required to the Nursing Teams and Bed Bureau communicating with Patients / GPs' / Wards / Health Professionals / Callers to the service.
Provide factual, non-clinical information to patients, callers and health professionals over the phone.
Using SystmOne, ICE or Trakcare to make and confirm patient appointments
Arranging and confirming appointments using SystmOne, ICE or Trakcare
Updating patients details and ensure computer records up to date
Scanning and filing using office equipment such as printers, photocopiers and fax machines
Daily use of MS Office applications
Be able to multi-task in different administrative processes whilst using a number of different patient record and administrative systems to ensure the effective delivery of services
Receive incoming calls and make outgoing calls, whilst communicating with patients and health professionals as required or determined by service needs.
Process new referrals - (Urgent and Routine), into the patient record for the requested service, complying to the services KPI requirements / standard operating processes and policies.
Be responsible for sending out appointments / clinic letters / patient record journal entries to relevant patients and health professionals as requested, in a timely manner following service processes and Information Governance rules.
Print clinical request forms for collection by clinical staff each morning in a timely manner, to meet the departmental and organisation requirements.
Liaise with GP's and other Health Professionals for Admissions to Wards / Booking Ambulances and Patient Transport as required
Prepare patient files / service records for archiving, ensuring compliance with Trust Archiving and Record Management Policies and Procedures.
Type letters, reports and other correspondence, as well as input and check data and information into IT systems.
Retrieve and generate information to assist in the effective organisation of all patients in accordance with local and national policies and targets
Person Specification - Experience and Skills
Experienced Medical Administrator within an NHS, Private Healthcare Organisation or Hospital background
Competency of MS Office Applications and a keen interest in Healthcare
Experience of using SystmOne, Trakcare or ICE (highly advantageous)
Proactive with a flexible approach (This post required you to be able to multi-task in several different administrative processes using several different patient record and administrative systems to ensure the effective delivery of services)
Smart Card holder: Not Essential, however, preferable
Previous experience of using IT equipment and systems with ability to learn new systems with ease
Experience of working as part of a team and independently
Good interpersonal and communication skills (with ability to manage phone lines and deal with professionals and patients)
Great level of accuracy and attention to detail
Excellent written and verbal communication skills at all levels
Articulate, assured and customer focused telephone manner
Ability to work as part of a team
Booking appointments - experience of managing appointment system and monitoring of clinics / waiting lists etc
Appropriate handling of sensitive/confidential information
To successfully commence employment as a Medical Administrator, you will be required to:
* Register with Your World Healthcare and become fully compliant (prior to commencing employment)
* Hold a clean valid-in date enhanced DBS dated in the last 12 months or a valid in-date DBS registered with the update service (if held by a third party) to commence employment successfully. If you do not yet hold an enhanced clean DBS certificate dated within the last 12 months or a valid certification of a DBS registered with the update service (with photographic evidence of this) - you will be required to apply for a new DBS part of your application. This can be applied for via Your World Healthcare.
* Complete mandatory online training modules required by our healthcare client to commence employment successfully. (Please note: This will be set up via Your World Healthcare recruitment as part of your registration process)
