Our Milton Keynes client is looking for an experienced manager to lead our Reception and Administration team. The role will suit someone who is able to manage their workload and time management to ensure the first point of contact for patients to the practice runs smoothly on a day to day basis. The role will support, train and develop our valued reception team to provide the best possible care to patients who require help and support.

The job will involve:

Providing effective line management to a team of administrators and receptionists
Acting as an essential point of contact for patients when calls are escalated and work closely with the management team and clinical team and other specialities
General reception duties, providing cover during busy periods and absence
Managing and recording absence, sickness, training, annual leave and appraisals
Updating, maintaining and implementing policies and procedures, including Health and Safety
Being responsible for the employee lifecycle of administrative staff - recruitment / training / leavers etc.
Assisting with the management of the building premises including arranging maintenance and repairs
Ensuring that reception and admin duties are covered at the agreed service operational levels and that rotas are in place to cover
Handling all informal patient complaints that come through to the practise and escalate to the appropriate team where necessary
Developing campaigns for Flu, Vaccines, health checks and screening uptake.
Other administrative duties as required
The person will:

Have previous experience of working in a busy office and dealing with conflicting demands
Have extensive customer service management experience
Have managerial experience
Possess a sound knowledge of Microsoft applications including MS Teams, Outlook, Windows, Excel and Word
Have previously worked within primary care/ GP practice
Have working knowledge of QOF, Enhance services and PCNs
SYSTM1 experience
Educated to GSCE Level
Have good written and verbal communication skills
Courteous and professional telephone manner
Be able to maintain a high level of confidentiality at all times
Be flexible in their approach to work and willing to meet the needs of the team, the practice and PCN
Be able to prioritise work load and work to tight deadlines
Have the ability to communicate courteously, concisely and affectively with all levels of staff and general public
Be able to work well under pressure
