Facilities Supervisor
Purpose of the role
To supervise the buildings co-ordinator and FM operatives and to pro-actively identify and undertake and/or allocate all buildings and facilities related tasks including all aspects of Health and Safety and Environmental, supporting the National Facilities Manager and Head of FM with projects and firm wide objectives.
Responsibilities
Health, Safety & Environmental:
- Act as the fire warden & support co-ordinator
- Carry out Risk Assessments as required and ensure all are updated as necessary
- Co-ordinate and ensure all DSE assessments and training are up to date
- Ensure the collation and inputting of environmental data into our environmental data system is accurate
- Maintain the upkeep of all H&S information on our intranet site and around buildings
- Co-ordinate all H&S meetings and take/issue meeting minutes
- Prepare annual H&S exec report for Head of FM
- Pro-actively support NFM and HoFM with delivering environmental initiatives and obtaining ISO accreditation
General
- Ensure the Business Operations intranet site is always relevant and updated
- Ensure Bus Ops Building meetings are diarised and agendas/minutes are taken and issued/followed through
- Arrange for firm wide/departmental comms to be created and sent as necessary
- Check buildings invoices prior to approval
- Collate Business Development tender requirement information as requested
- Maintain furniture inventory and asset log
- Co-ordinate and complete incident reports as necessary
- Keep Buildings Team 'out of Hours & emergency contact' details up to date & distributed
- Co-ordinate L&D training requirements for Bus Ops team
- Ensure the following documents are always in date - BCP plan, policy, register, data site and lessons learnt documentation
- BCP testing
- Assist with the administration process of setting up New supplier/contractors
- Maintain Bus Ops folders in shared space
- Collate and Analyse statistics - desk stats, car park, parking MIs
- Co-ordinate the findings from cleaning audits and ensure issues are flagged with the AFM
- Co-ordinate parking permits and support with the Working Parking Levy licence process
- Supervise and support the FM team as required
- Review and co-ordinate documentation displayed in the office
- Undertake any other duties commensurate with the role as necessary
Security:
- Co-ordinate door access amendment requests
- Provide holiday cover for the Security H&S co-ordinator Co-ordinator
- Co-ordinate the allocation/management of OneCards and the Way2Pay system
Technical skills
- Excellent H&S knowledge/previous experience (including DSE assessments) including IOSH Managing Safely
- Excellent Environmental knowledge and previous experience (including ESOS/SECR and carbon neutrality)
- Proficient in Microsoft Office
- Knowledge of AutoCAD (not essential)
- Methodical, organised and pro-active approach with keen eye for detail
Compliance
- Once in post, you will be expected to be familiarise yourself and be compliant with our full range of regulatory policies and procedures including: equal opportunity and diversity, data protection and confidentiality/security, anti-bribery and anti-money laundering etc.
- You will also be required to undertake mandatory compliance training as required

- Previous supervisory experience in similar role essential
- Highly motivated
