Policy Operations Associate

Glasgow based

6 month initial contract- PAYE

Team Profile:

The Global Operations Signatory and Policy Control Team has a requirement for a contingent/contract worker to assist their global team based in the Glasgow office. Primary Responsibilities:

The successful candidate will be required to undertake the following responsibilities:

  • Facilitate the storage of the Operations' Policies & Procedures on Firm systems;
  • Perform the Approved Exclusion Reviews and prepare reporting for Senior Management;
  • Perform the required reviews of all Authorised Signatory Lists for Operations and work with Operations and the Company Secretaries to update the lists, as required;
  • Create new Authorised Signatory Lists for Operations, where required, and work with Operations and the Company Secretaries to obtain approval for the new lists;
  • Obtain certified copies of Operations' Authorised Signatory Lists, as required and send to the appropriate groups within Operations;
  • Develop and maintain a strong working relationship with divisions throughout the organisation, including, Legal, Compliance, Internal Audit, Company Secretaries, Finance, and the wider team.
  • Assist with releasing courses to Operations in line with global requirements;
  • Perform the review and approval of Operations' Policies and Procedures in line with Operations Policy

Skills required:

The ideal candidate will have previous experience/knowledge within an Operations', Legal, Risk or Compliance related environment and/or a Bachelors degree in a related field. They will be a confident analytical person with excellent oral and written communication skills. In addition, the ideal candidate will possess the following attributes:

  • Effective communication, interpersonal and analytical skills as well as strong attention to detail and accuracy;
  • The ability and confidence to interact and influence effectively at all levels of the organization to present views and gain consensus amongst them;
  • Well organised and can perform multiple day-to-day activities with minimal guidance and supervision, displaying excellent prioritisation and time management skills;
  • Self-motivated with a strong sense of ownership and accountability for tasks, can work independently/remotely and as part of a team, sharing knowledge and contributing to team output and development;
  • Understands the business they support and is able to build and manage relationships on a day to day level with key stakeholders;
  • Recognises risk in day-to-day processes, draws out the key issues and suggests ideas for continuous improvement, manages change to new or existing work streams;
  • Previous experience of working with a vendor team in a remote location;
  • Proficient in MS Office suite of applications.
