Post Title:                       Accounts Officer

Reports to:                     Finance Manager

Salary:                            £24,000 to £26,000 per annum pro rata (dependent on experience)

Location:                       High Wycombe

Hours of Work:  Part time 12 hours per week (with proposed gradual increase to 20 hours when new contracts are added)

Preferred days and hours are Monday, Tuesday, and Wednesday (10.00 to 14.00)

 

Basic Function

To provide accounting assistance to the Finance Manager by processing all expenses claims and purchase invoices daily. 
Ensure all payroll documentation is accurately prepared for submission to payroll by monthly deadline.
Maintain a contract and grants register and produce sales/contract invoices on a timely basis in accordance with those contracts, and credit control to ensure that the debts are collected to payment terms.
Input all of cashbook receipts and payments daily.
Accurate filing and archiving of all documentation, and preparation of a weekly payment run to pay expenses and suppliers.

 

Main Responsibilities

Process all authorised staff expenses form daily.  Allocate the costs to the correct cost centre and category and reclaim VAT where appropriate.
Process all supplier purchase invoices once authorised daily and allocate the costs and VAT as above.
Prepare the documents for a weekly supplier payment run for the Finance Manager.
Maintain a contract and grants register file that contains all signed contracts.  Advise Senior Management monthly of contract expiration dates so that they can plan discussion with the funder.
Raise contract invoices as per contracts and ad-hoc sales invoices on a timely basis once any documents are received, and in accordance with any ongoing contracts.
Ensure that all sales invoices are paid within our payment terms relevant for each invoice and post all receipts daily.
Reconcile all petty cash monthly and input the journal to QuickBooks.
Reconcile all card receipts on a weekly basis for both offices, and ensure the receipts are all received and posted by journal.
Identify and post all sundry receipts for grants, contracts and donations when received and ensure that they are allocated to the correct cost centre and category by liaising directly with other members of staff, particularly the Finance Manager and Fundraising Officer.
Post all direct debit payments and direct credit/standing order receipts daily.
Reconcile the bank accounts and other control accounts monthly.
Produce and input monthly journals for purchase accruals, prepayments, deferred and accrued income.  This includes maintaining records of expenditure for specific grants.  
Liaison with HR Administrator to ensure that all payroll starter, leaver and amendment documentation is prepared accurately for submission to payroll by the monthly deadline.  Calculation of all extra hours to be paid monthly to staff.
Ensure that new starters are equipped with a laptop and mobile phone upon starting and ensure that the asset register is accurate and up to date.

Requirements

Previous experience working in a busy Finance office (E)
Bookkeeping knowledge ideally to at least AAT standard (E)

Ability to accurately input all documents to a high standard with minimum errors once trained (E)

Proficient in the use of office-based IT packages, including Microsoft Word, Excel & Outlook and with computerised software packages, ideally QuickBooks (E)
