Job Title - Production Administrator
Reports to -Production Manager
Other regular relationships -Factory & Logistics Manager, Production Team, QS, Factory Supervisors & Ops.
Working Hours- 8am-5pm Monday to Friday
Minimum requirements - Previous administration experience, strong computer literacy in Excel and Word, good written and verbal communication skills, organized and meticulous eye for detail. Experience with stock control packages advantageous but not essential.
Summary of Core Responsibilities:
Processing of survey sheets for Production
Preparation of Production batch records and filing / scanning of completed records.
Updating key excel spreadsheets with manufacturing data from batch records
Input of QC data for timber moisture and density results into the log.
Generation of both Draft and Final Certificates of Conformity for manufactured door sets.
Maintain stock levels of office stationary and general office supplies.
Office Reception Duties
Assist with other administrative duties as required.
Purchase orders, order tracking, delivery notes
Role and Responsibilities:
Processing of survey sheets for Production
* Scanning / filing of handwritten survey sheets into the Shellen network.
* Transcription of the handwritten survey data into excel spreadsheets.
* Checking the excel spreadsheets created vs.:
* the handwritten originals for accuracy of data
* Shellen project trackers to determine authority in place to proceed with manufacture and that door colours / styles have been received
Preparation of Production batch records and filing / scanning of completed records.
* Generation of support batch record documents - Door / Frame QC sheets and Paint sheets from the Door / Frame batch records
* Printing of all Door and Frame batch record sheets, Fitting sheets, QC Sheets, Paint sheets and associated labels for the batch records.
* Collation of completed Door / Frame batch records into consolidated records and subsequent filing / scanning of these documents once document packs are complete.
Updating key excel spreadsheets with manufacturing data from batch records
* Updating of the Shellen Master Tracker spreadsheet with the batch specific data from the batch records after they are printed for manufacture: e.g. sizes, handings, colours, styles etc.
* Updating of the Shellen Master Tracker spreadsheet with deliveries for doors, frames, lock boxes and Side / Over panels from the delivery notes.
* Updating of the Shellen Master Tracker spreadsheet with completion dates for manufacturing processes from batch records and logs - e.g. Cutting, Lipping, CNC etc.
* Updating of the Shellen Master Tracker spreadsheet with the date of installation - dates received from fitting supervisors.
* Updating Batch Register dates of issued documents, data transfers and completed batch records.
Input of QC data for timber moisture and density results into the log.
* Updating of the density and moisture log with QC results from the shop floor for all Door Blank and timber deliveries.
Generation of both Draft and Final Certificates of Conformity for manufactured door sets.
* Generate these documents for all door sets as they complete the manufacturing process
Maintain stock levels of office stationary and general office supplies.
* Raise requisitions to purchase supplies to ensure the office stationary and kitchen stock is maintained, e.g. printer paper, pens, folders, toilet rolls, tea, coffee, sugar etc.
Office Reception Duties
* Answering the office phone line
* Answering the door to visitors and making teas / coffees for guests as required
* Keeping the board room / meeting room tidy
Purchase Orders, Order Tracking, delivery notes
* Raising and processing of purchase requisitions / orders
* Tracking and chasing of placed orders
* Reconciliation of delivery notes / proof of receipt
