Our client, a well known Public Sector organisation based in Clydebank, requires a Programme Administrator on a short term temporary basis. The salary for the position is GBP11.73 per hour. Working Monday to Friday 37.5 hours per week.

Main purpose of role:
The post holder will be required to provide a professional level of administrative support to the programme and team. Working within a busy team and to tight deadlines the post holder will be required to multi task and ensure deadlines are met which will include flexibility in the working hours. Excellent planning and organisation skills are key.

Key Duties:
Provide general administrative support to the Programme and its meetings structure, taking a lead on regular workshop and meeting co-ordination to ensure all necessary information is available ahead of each event
Provide PA and administrative support to the Director and Associate Directors
Provide project administration support to the various programme team members
Provide support to the leadership team in collating various reports relating to different aspects of the programme
Be responsible for co-ordinating the updates to the programme risk register, issues log and change log.
Be responsible for establishing and maintaining action logs for each project group, following up progress on actions between meetings to ensure meetings run smoothlySkills and Experience:
Demonstrable proven experience in an administrative role in a busy environment, acquired either through formal training to Diploma level or equivalent experience
Evidence of planning and co-ordination skills and ability to multi task
Experience of co-ordinating meetings - arranging suitable dates via MS outlook and discussion with key group members, taking accurate minutes, producing minutes and agendas in advance of meeting and maintaining action log - chasing action responses between meetings to help the meetings run smoothly (see progress chasing below)
Attention to detail and deadlines - knowledge and experience of how to deal with non routine activities i.e. progress chasing, answering queries & developing new procedures
Excellent secretarial and administrative skills
Ability to create and set up electronic & manual filing systems for projects
Strong interpersonal and communication skills with high level of tact and confidentiality - with ability to communicate with staff working at all levels within the hospital and ability to communicate with external agencies e.g. other health boards and Scottish Government staff
Highly developed computer skills, using various Microsoft packages including MS Teams, Word, Powerpoint, Outlook, Excel, Mail Merge, Project & Adobe PDF
Highly numerate with experience of working with spreadsheets e.g. Experience of collating data and straight forward data analysis
Ability to prioritise workload & ability to work on own initiative and as part of a team
