Job Purpose
The PMO Manager reports to the Head of IT Portfolio and Project Management (HoPPM) and will be responsible for supporting the HoPPM in achieving the objectives of the Portfolio and Project Management function, including line management responsibility for four PMO staff members.
Key Responsibilities
Perform Senior level Portfolio Analysis to determine impacts and risk to current and pipeline delivery
Run and manage the project and portfolio reporting process, providing quality assurance and analysis on the reports to ensure and maintain a single source of truth, flagging areas of concern and inconsistency
Ensure the portfolio register is maintained and up to date at all times
Run and manage the stage gate review process, quality assuring the deliverables before each gate, coaching and supporting the Project Manager to ensure objectives are achieved, and flagging areas of concern
Run and manage the resource management process, including obtaining regular updates from key stakeholders within IT to keep the resource management demand vs.utilisation picture current
Aggregate lessons learned into a report to form a picture of continuous improvement for the IT department and business
Monitor project and portfolio controls, including risk, issues, plans, finances, project changes, dependencies and ensure any areas of concern are flagged
Perform regular audits on the portfolio and ensure any areas of concern are flagged
Take a coaching and supportive stance to Project Managers
Line manage four people within the PMO team, including performing 1-1's, regular personal development reviews, and monitoring training needs
Provide Senior support to the HoPPM where required
Qualifications
Project or programme management methodologies such as Prince2/PMI/APM/MSP/Agile practitioner is ideal
Any other project management related qualifications are desirable, e.g. Risk Management, Microsoft Project, Excel etc..
Sharepoint experience is desirable
Experience with Microsoft Project and Visio
PPM tool experience is desirable (e.g. Project online, Project Server, Clarity, ServiceNow PPM, etc???)
Skills & Experiences
Worked for a minimum of 3 years at a senior level in a Portfolio management office environment (for example as a Manager or as a Senior Analyst/Coordinator)
Practitioner certificate in a project related qualification, or relevant experience.
Be proficient with MS Visio and all other MS office products
Commercial, Financial and Business acumen
Must work to a high degree of accuracy with excellent attention to detail
Must take an analytical approach to problem solving
Excellent stakeholder engagement and management, with open, honest communication and a supportive stance
Ability to critique documentation in a clear, logical and concise way
Ability to effectively communicate to different audiences
Ability to present ideas and information effectively and efficiently
Excellent people management skills written and verbal communication skills
Able to work under pressure and meet deadlines
Able to manage sensitive and sometimes confidential information
Self-motivated and able to take responsibility
Able to manage and prioritise and tasks and time efficiently
Able to demonstrate initiative and a proactive approach
