EA/PA/Office Manager

Salary: GBP37,500 - GBP40,000

Location: Altrincham

Hours: 8.30am - 5.30pm, 2-3 days per week and 11am - 8pm, 2-3 days per week on alternate weeks. Working Monday - Friday.

We are looking for an Executive Assistant to support the MD of a successful family run group of businesses (eight currently and growing), his family and senior staff.

The company predominantly works in the property industry but also runs events and location filming

The ideal candidate must be a problem solver who can stay calm and positive even under great pressure and 10 steps ahead at all times and be someone who is a joy to work with for all colleagues and clients.

You will be highly self-motivated, professional, and capable of managing your workload and prioritising tasks in a rapidly changing environment. You will have a strong sense of ownership and responsibility, meticulous time management skills and a can-do attitude. You will need to be genuinely happy to work non-standard hours (which you will plan in advance whenever possible) and have a proven track record of working for a senior manager operating with complexity and pace.

Responsibilities in the role will include managing calendars initially and over time the MD's emails, preparing for and sometimes attending meetings, ensuring you or the team produce an agenda, minutes and ensuring action points are followed up, recruiting and line managing [two] support staff for other business units, making occasional travel arrangements on both a business and personal level,.

Ultimately, you will contribute to the efficiency of the business by providing personalised and timely support to the MD and his staff.

Working closely with colleagues and especially family members, the successful applicant will:

Be highly organised with a well-developed eye for detail and be able to deal with complex and ever-changing work schedules and arrangements.
Act as the first port of call for all communications with the MD and senior staff both internally and externally, actively dealing with written correspondence.
Take full responsibility for the management of the diary, arranging and often rearranging meetings and appointments.
Ensure that the MD is fully prepared and prompted ahead of all meetings and events by preparing meeting agendas, arranging compilation and circulation of pre-meeting documentation.
Be able to brief the MD on matters succinctly, and where necessary make recommendations.
Be experienced in using technology and have excellent knowledge of Microsoft Word and ability to lay out documents and letters, Microsoft PowerPoint to prepare presentations including tables and charts as well as developing briefing notes and commentary to a high standard of accuracy and professionalism, preferably Microsoft Excel, maintaining databases and using formulas to analyse data and produce charts. Familiarity with Mac an advantage as is 3CX, Mailchimp, OneDrive, Publisher, web and/or social media, (please provide detail in cover letter)
Build positive relationship with clients and other team members within the company on behalf of the MD.

Requirements

At least 5 years' experience working as an Executive Assistant, Personal Assistant, or a similar role working for multiple managers.
Must be happy to work two - three late shifts per week, 11am - 8pm.
Proven track record of developing junior staff to meet the business's needs and values with effective delegation.
Excellent verbal and written communication skills.
Discretion and confidentiality.
High level MS Office knowledge.
Strong organisational, project management and problem-solving skills.
Highly resilient, work well under pressure and ability to adapt easily to changing conditions.
Attention to detail.
Confident, positive, and resilient in nature and an ability to communicate immediately and very directly with any concerns or issues so they can be understood and managed.
Personable and a team player.
A full driving licence.
