Role: To assume the role of Receptionist/Administration Support, ensure appropriate safeguarding administration of visitors and contributing to the running of a safe, efficient and welcoming school.
Salary: Scale 4 points 7-11, term time plus one week (3 days per week)
Responsible to: Office Manager
Core Responsibilities
Reception
- Receive telephone calls and redirect as necessary.
- Deal with telephone enquiries.
- Maintain visitors' safeguarding administration.
- Maintain name badges for all staff.
- Assist school community with all general enquiries.
- Maintain a tidy and informative reception area.
- Manage the Academy email box.
- To accept and sign for deliveries as appropriate.
- To undertake filing
Office Administrative Support
- Help provide an orderly, friendly and calm environment for parents, staff, children and visitors.
- Assist with all aspects of arrangements for visitors to the school; including external agencies and visits from OFSTED, DfE, HMI
- Lead and manage all administrative duties linked to student admissions including pupil records and the issue of uniforms
- Organise and distribute all keys and access control passes
- To order stationary and text books for subject leads as and when needed
- Deal with daily routines; communicate with parents and classroom teachers regarding attendance, absences, illnesses and collection arrangements, prioritising where necessary.
- Open and sort incoming mail, notifying mail recipients of its arrival.
- To assist with the administration of school visits in liaison with the teaching staff.
- Liaising with school catering suppliers, to ensure the correct number of meals are ordered.
- Support the Office Manager to develop and deliver a Public Relations service to the school both externally and internally, including development of external links and opportunities for marketing
- To undertake typing and word processing as needed in producing and the effectively distribution of information letters to children, parents /carers.
- To liaise with parents regarding accidents, emergencies or general illness including 'sending children home' and the recording and processing of pupil medication.
