MAAL have an opportunity for an experienced FM Procurement administrator. Working in collaboration with the buying team you will be a key member liaising between internal clients, maintenance teams and clients.
Job Description
* Update and maintain internal database
* Updating database with new suppliers and existing supplier changes and information
* Support 'Vendor' process for both new and existing suppliers through Company Vendor approval process
* Correspond with vendors regarding prices, product availability and delivery, ensuring all documentation is provided - certification etc
* Overseeing the receiving, approving and processing of invoices for payment
* Raising purchase orders to support Service, Installation, Small Works and Project Teams
* Raising purchase orders on all internal systems
* Obtaining proof of delivery for all orders
* Overseeing queries relating to both Supplier and Subcontractor invoices to avoid non payment
* Manage the stores and procurement process to maintain stock levels in the Engineer van locations and office stores
* Completing and liaising with Procurement Manager following inventory report being run on a weekly basis
* Supply stock take on both Van Stock and Stores
* Manage the process to ensure stock is disposed of and recycled correctly
* Manage any Loan units and equipment repairs
* Follow the Companies Business Management System to achieve 100% compliance
Qualifications
* Team player who is capable of working autonomously in support of engineering teams and customer/supplier enquiries
* Experience of working in a national technical service environment is preferred
* Electronic security Systems awareness
* Good communication and customer relationship skills
* Enthusiasm in a customer focused environment
* Demonstrate excellent communications and organisational abilities
* Familiar with FM IT Packages , such as CASH for windows & SAP, or equivalent
* Minimum three years office administration experience
* Excellent verbal and written communications skills
* A professional and proactive approach
* Strong Microsoft Office skills in particular Word, Excel and Outlook
* Able to prioritise effectively and support multiple team members
