Description
The role will provide a broad base of flexible administrative support across the business. Reporting to the business services manager the role will support key areas within the business in the delivery of high-quality administrative support.

Key Responsibilities:
Provide PA support to the Directors, including managing diaries and arranging meetings
Support the management team by coordinating meetings and support with preparing presentations
Plan, coordinate and support conferences both UK & overseas within budget; organise events as required
Coordinate travel & booking of accommodation, trains, cars etc. in line with budgets and company policy
Handle customer enquiries - taking calls and providing help and guidance
Be the first point of contact for visitors, manage visitors to the site, liaising where required to arrange access and provide refreshments
Overseeing the management of the meeting rooms, preparing the rooms ahead of meetings with refreshments, lunches and assisting with IT and video conferencing
Support the induction process for new starters joining the business, including support of the onboarding and due diligence processes
Ensure efficient management of shared mailboxes
Support Finance with the reconciliation of expenses and individual company credit card spend
Manage incoming & outgoing post & couriers
Support the QMS by providing technical reviews, accuracy checks of documents and maintain procedural documents
Maintain document control in line with the company retention guidelines
Maintain stock levels of stationery, consumables and miscellaneous items as required
Support the team to ensure compliance for health and safety, fire safety, first aid, occupational health legal obligations and maintain systems and records as required and
in accordance with regulations
Attend regular on-site meetings and communicate relevant information to the team
Support day to day facilities management of the office ensuring all issues are dealt with promptly
Support the culture and engagement initiatives to develop the team
Minimum Requirements - Education and Experience
Proven administrative experience - minimum 5 years
Excellent organisational skills and an ability to multitask within a fast-paced organisation
Strong initiative and problem-solving skills together with a great attention for detail
Ability to build effective relationships at all levels in the business
Experience of working in afast paced office environment
Excellent IT skills, particularly Microsoft Office 365
Ability to demonstrate a professional, confident and 'can do' attitude
Excellent communication, organisation and time management skills
Ability to work confidentially
