Zero hours contract (Holiday/absence cover)

Performs switchboard and administrative duties for the Plant Leadership Team.

Responsibilities may include screening calls; managing calendars; arranging travel, meeting and event arrangements; preparing reports and financial data; training and supervising other support staff; and customer relations. Must be a Google chrome and Microsoft office super user.

Will be responsible, working with HR, for the new starter process including starter packs, collection of new starter information and on boarding. Supporting with the administration and facilitation of all onsite training initiatives. Will be required to attend meetings on site, including Employee forum and Employee relations related discussion, to act as note taker.

Must Be:

You must be an excellent communicator both in speech and writing with an excellent telephone manner. You will have the ability to engage with different stakeholders at different levels. You will undertake both forward facing reception duties as well as administrative tasks.

Key duties:

You need to be highly computer literate in the Microsoft Office Suite and Google and have a very high attention to detail.

Produces information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data, and graphics.

Maintains appointment diary by planning and scheduling meetings, conferences and travel.

*

Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing enquiries.

*

Maintains customer confidence and protects operations by keeping information confidential.

*

Prepares reports by collecting and analysing information.

*

Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.

Contributes to team effort by accomplishing related results as needed.

*

Responsible for handling all incoming and outgoing post including sorting and distributing post and arranging couriers

*

Keeping the reception area tidy

*

Answering, screening and forwarding phone calls. Taking accurate messages and assisting callers proactively.

*

Ensuring all visitors are aware of the Health & Safety procedures.

*

Providing beverages for visitors

*

Travel arrangements, gaining required approvals, obtaining best price tickets and hotel rooms, booking via selected online platform.

*

Booking of meeting rooms, refreshments

*

Data input where required.

*

Assisting with document management - paper and electronic including assistance with document reproduction.

Assisting other business support staff as required
