Location: Derby, with some flexibility to home work
Salary: GBP18,525 - GBP21,671 FTE, DOE plus 5% pension contribution
Contract: Full Time, Permanent (Part time considered for the right candidate)
Hours: 37.5 hours (Flexible working available)

Upbeat Communities is a Christian charity that exists to help refugees settle and rebuild their lives in the UK. We have been helping strangers become neighbours since 2005. Upbeat Communities works with Refugees and Asylum Seekers in Derby and across the UK. The team provides welcome support for new arrivals, language classes, health and well-being activities, and enterprise and employment training.

Data & Administration Officer - The Role:
We are looking for a Data and Administration Officer to join our small dynamic team to support in the collection and analysis of data across the charity and it's social enterprises. The purpose of this role is:
- To administer organisational databases and support in the collection and analysis of organisational data from across the charity
- To provide administrative support across the organisation including finance, operations fundraising and project delivery
Key Tasks and responsibilities:
Data Management
- Provide administration of stakeholder databases including funders, donors and service users
- Support the Head of Operations with the gathering, analysis and presentation of organisational data
- Support in the investigation and resolution of system issues across the organisation
- Support the Head of Operations in data protection compliance and GDPR
- Support with the development and implementation of monitoring and evaluation systems and tools to evidence impact
Administration
- Handle first line enquiries across all the charity's communication platforms (telephone, email, website)
- Manage information and online filing, using Office 365
- Perform administration and support for IT and communication systems
- Assist the Chief Executive and Finance Manager with administration support including generating financial and other reports
- Support in the efficient use of premises and manage purchasing, leases/ bookings
- Provide administrative and data management support to the charity's projects & social enterprises
- Support the Finance Manager in the day-to-day management of the charity's finances
Human Resources
- Assist the Finance Manager in processing staff wages, pension payments and payments to HMRC
- Support recruitment and induction processes for new staff and volunteers and undertake DBS checks where required
- Support with the improvement of staff & volunteer training and development
- Maintain accurate records of staff entitlements using our online HR portal
Other
- Make an active contribution to the overall work of Upbeat Communities through team meetings, staff training, awareness and fundraising events, and any other appropriate activities

Data & Administration Officer - Person Specification:
Qualifications & Experience:
Essential
• A good standard of education (GCSEs & A Levels or equivalent)
• Experience of supporting IT systems and HR recording
• Experience of office/ resource management
Desirable
• A relevant Administration or Finance qualification
• Experience using data for reports and presentations
Skills & Attributes
Essential
• Strong financial awareness
• Ability to develop and maintain databases and information systems
• Outstanding administrative ability, well organised, and reliable
• Ability to communicate effectively in person, in writing and over the telephone with individuals and a wide variety of organisations and from a diverse variety of backgrounds
• Excellent planning and organisational skills with the ability to prioritise competing tasks and manage your own workload
• Good IT skills
• A team player with a helpful serving attitude and a positive disposition
Other
• Knowledge of the needs of refugees and asylum seekers and commitment to their support, wellbeing and empowerment
